Duties/Pligte
**Duties**:
**Providing administrative support to the Executive Head of Department and Head of Family Medicine and Primary Care**
Administrative management of staff leave;
- Supporting other administrative staff where appropriate;
- Administration of departmental infrastructure, inventory and assets;
- Administrative management of supplies and equipment;
- Administrative management of cost centers;
- Financial administration, e.g. quotations, requisitions, invoices;
- Collating data and information as required, e.g. annual calendar, and annual research report;
- Handling general client and student enquiries;
- Managing an effective filing system;
- Travel arrangements, including accommodation and reservation of flights - domestic and abroad;
- Handling correspondence and channeling telephone calls;
- Managing appointments/diary;
- Taking minutes of meetings;
- Supporting local and international visitors;
- Arranging workshops and events;
- Performing other general administrative tasks as required.

Job Requirements/Pos Vereistes
- **Requirements**:

- Suitable post-matric qualifications (secretarial/administration);
- A minimum of three years' secretarial and/or administrative experience;
- Expertise and experience with the use of the University's administrative and financial systems;
- High-level computer skills in at least Excel, MS Word, PowerPoint and Outlook;
- Proven excellent communication skills and flowing language skills in at least English and Afrikaans with particularly the ability to communicate and interact

empathetically with lecturers and students;
- The ability to function under pressure;
- Excellent interpersonal relations.
