The person will take responsibility for processing payroll professionally, accurately and timeously as well as to provide a professional, efficient, accurate and effective payroll and benefits administration support to the department and business.

**Payroll Administration and Processing**:

- Ensures accurate, timeous and consistent processing of monthly payroll
- Update and maintain financial details pertaining to new employees, current employees and terminated employees
- Process all additional pay related allowances (i.e. standby allowance, shift allowance, etc.)
- Process all savings and savings withdrawals
- Process and maintain staff movement and change of status process to ensure business compliance
- Approve SAGE ESS claims and unpaid leave transactions on SAGE 300 People system
- Create export batch for overtime, shift allowance, transport deduction and forward to DM’s for completion
- Format, import and finalize overtime, shift allowance and transport deduction batches received from DM’s for processing on SAGE 300 People
- Manage overtime, shift allowance and transport deductions corrections or amendments received from operations
- Link new and current employee records to correct positions codes
- Ensures that all payroll processes are compliant and adhered to as prescribed by the business
- Ensures that all employee records are properly prepared, maintained and filed correctly.

**Onboarding of New Employees**
- Action the ‘employ’ of new recruit profiles loaded on SAGE 300 People
- Allocate Employee Codes to new employees and forward to Service Desk
- Check all contractual entitlements and payment methods for proper authorisation and for consistency with the Company’s payment policies and statutory regulations
- Check, link, load financial information for new employees and link the position code
- Create ESS username, password login and activate new users on ESS
- Conduct payroll benefit session with all new employees

**Benefit Administration**
- Manage all change requests impacting Medical Aid, Medical Insurance and Provident Fund memberships with 3rd party service providers (also include voluntary benefits like Extended Funeral)
- Manage new members and membership changes with Provident Fund, Discovery Health and Discovery Flexi Care service providers via the relevant platforms (also include voluntary benefits like Extended Funeral)
- Prepare the monthly reconciliation of benefits deductions/company contributions and submit together with relevant schedules to Finance for payment by the relevant due date.
- Maintain all record maintenance pertaining to employee benefits
- Maintain SAGE People 300 with correct benefits linking
- Manage the maternity leave benefits processing
- Ensure the timeous handling and resolution of Employee benefits queries

**HR Information Systems & Reporting**
- Accurate maintenance of all employee information on SAGE People Payroll System
- Monthly reporting on all payroll related transactions/data, as requested and required
- Re-set employees ESS passwords when required

**System Administration & Support**
- Manage and maintain employee filing system
- Administration of all employee information and records
- Manage and maintain staff movement and changes process to ensure business and statutory compliance

**Exit Process and Procedures**
- Timeous communication of termination of benefits with 3rd party service providers
- Process termination instruction on SAGE People 300
- Completion of UIF documentation where necessary or requested

**Service Delivery**
- Build and maintain relationships with employees, management, and the wider PS team
- Maintain high Payroll and HRIS service levels to support business

**Experience**:

- 3 years' experience working on Payroll and HR systems
- Experience within a Financial Services/ Contact Centre environment is advantageous
- Experience processing payroll on Sage and Sage 300 People advantageous

**Qualification**
- Grade 12
- Payroll or Human Resources Management Degree/ Diploma

**Functional Knowledge and Skills**
- Knowledge and experience in Payroll and HR Systems (SAGE 300 People)
- Knowledge and experience of PAYE and statutory compliance and understanding of employee benefits
- Knowledge and experience of payroll reconciliation processes
- Knowledge of Labour Legislation, specifically Skills Development, Employment Equity and BCEA, and Tax regulations as it relates to remuneration practices
