CORE PURPOSE OF JOB

The main purpose of this position is to provide effective administrative support to the Department of History and Political Studies within the context of post-graduate studies.

The administrative assistant assists in the proper functioning of post-graduate studies, schedule meetings for the presentation of students through the office of the Head of Department, typing minutes, preparing reports, maintaining files, conducting correspondence, distributing information, data/marks entry, coordinating activities on matters of post-graduate studies.

Provide administrative support to the Department of History and Political Studies

Managing the academic life cycle of postgraduate students from application, registration and conferment of qualification

General office management

Information management

Filing post-graduate related matters

CORE COMPETENCIES

Strong computer skills (ITS, MS Office, Internet, e-mail)

Good verbal and written communication skills

Good time management skills

Excellent interpersonal skills

Conflict management and interpersonal skills regarding post-graduate matters

Ability to manage time and deliver high-quality work under pressure in a large and busy department

Well-developed understanding of the administrative needs of postgraduate programmes

REQUIREMENTS

Grade 12 or equivalent (e.g. technical qualification)

Normally 2-5 years relevant and/or working experience
