JOB PURPOSE

RESPONSIBILITIES

Daily Duties

  • Responsible for organizing of internal and external meetings on behalf of the executives, ensuring all necessary requirements are made e.g. meeting venue, equipment, presentations, agenda and catering etc
  • Draft, proofread, and manage correspondence from all Executives
  • Take minutes during the Executive meetings (Technology executive & Mancos) and ensure a followup on action items
  • Assists in the preparation of presentations, reports and legal documents
  • Maintain and organize files and records, ensuring confidentiality and easy retrieval
  • Maintain appointment schedules, calendars, and coordinate travel arrangements (incl. flights, accommodations and transportation)
  • Coordinate and organize meetings, meeting minutes and records and follow up on action items
  • Assist with all personal matters and requests from the Group CTO as and when required
  • Perform special projects and other duties as assigned
  • Prioritizes conflicting needs; handles matters expeditiously and proactively
  • Attend to all adhoc requests
  • Prepare for and coordinate logistics of events and meetings, incl. venue arrangements, materials preparation, attendee coordination

EDUCATION

  • Matric
  • Bachelors degree in business administration, secretarial studies or a related field
  • Strong knowledge of technology concepts (infrastructure, software etc)

EXPERIENCE

  • A minimum of 5 years' experience working as an Executive Assistant
  • Ability to maintain confidentially and exercise discretion
  • Secretarial and administrative work experience required
  • Previous experience working in a technology company is an added advantage
  • Excellent typing Skills
  • Committed to excellence in customer service delivery
  • Computer literate, MS Office with strong Ms. Excel & Ms. Word
  • Ability to interact with all departments at all levels including Executives and board members
  • Effective planning and organizational skills
  • Excellent telephone etiquette
  • Ability to work independently, under pressure and must take full responsibility and accountability
  • Organized, methodical, detailed and analytical
  • Ability to thinkoutthebox and generate new ideas
