**The Role**

Knowledge Pele is seeking and Executive Assistant who will be responsible for providing comprehensive support to the General Manager and managing their respective office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

**Responsibilities**
- Act as a point of contact among other executives, employees, clients, and other external partners.
- Provide administrative support to the General Manager such as filing, typing, copying, binding, scanning etc.
- Answer phone calls, schedule meetings and provide sophisticated calendar management.
- Responsible for scheduling and assigning administrative projects and expediting work results.
- Responsible for travel arrangements such as booking flights, cars, and hotel or restaurant reservations.
- Responsible for supporting the KP team by performing tasks related and those delegated by the General Manager.
- Responsible for compiling reports and presentations.
- Provide event management support when requested.
- Handling administrative requests and queries from other senior managers directed to the General Manager.
- Assist other senior managers as delegated by the General Manager.
- Responsible for stakeholder management, creating and maintaining a relationship with internal and external stakeholders.
- Responsible for ensuring follow up regularly regarding key projects and programmes.
- Responsible for coordination of meetings including, confirming venues, arranging refreshments, preparing minutes, and communicating reminders.
- Assist with Manco & EXCO preparations as requested by the General Manager
- Responsible for collating and preparing board reports
- Responsible for facilitating and preparing information to be shared in Imbizo.
- Responsible for preparing and submitting timesheets.
- Responsible for collating and processing expenses and invoices.
- Responsible for reconciling credit card, receipts, and invoices.

**Requirements**:

- Bachelor’s degree in business administration or equivalent.
- 3 years of experience as an Executive Assistant or a related role.
- Understanding of office management systems and processes is desired.
- Excellent time management and multitasking abilities, as well as the capacity to prioritize tasks.
- Strong verbal and written communication skills.
- Ability to complete high volume of tasks and projects with little or no guidance.
- Time management skills.
- Problem solving and decision making.
- Interpersonal skills.
