Role Description:


Greenbean Learning, an expanding and exciting learning resources distribution company, is looking to hire a driven and enthusiastic Office Administrator to support and facilitate the growth of our company and contribute to our goals through the administrative team.


Due to the responsibilities of this role, a fluent proficiency in English both written and speaking is required, whilst additional languages are beneficial but not required.


Responsibilities:

Day to day:

  • Ensure accurate and timely processing of orders, from order placement to delivery, while maintaining clear communication with all stakeholders.
  • Monitor order progress, proactively addressing any issues that may arise and providing managers with updates.
  • Generating quotes and invoices for clients.
  • Managing the accounts for clients.
  • Coordinate the movement of stock between our two warehouses, ensuring optimal inventory levels and efficient distribution.
  • Collaborate with warehouse staff to schedule shipments, verify stock availability, and manage transportation logistics.
  • Oversee inventory transfers, reconciling discrepancies and ensuring accuracy in stock records.

Administrative Support:

  • Perform general administrative tasks, including data entry, recordkeeping, and document management.
  • Prepare reports and presentations summarizing order and inventory data for internal and clientfacing purposes.
  • Assist in creating and maintaining efficient workflows to streamline operations and enhance productivity.

Communication and Collaboration:

  • Facilitate effective communication between internal teams, clients, and external partners.
  • Collaborate with crossfunctional teams to ensure seamless coordination of operations and order fulfillment.
  • Address inquiries and concerns from managers, providing timely and accurate responses.

Scope for Development:

Reports to:

  • This position will report directly to the Administrative Manager, will be part of a small intimate team and will work directly with Warehouse Staff, Directors and all members of the Greenbean Staff team.

Personal Specifications:

  • Minimum of Matric.
  • 3 Years+ Administrative/Professional Experience.
  • Knowledge of 'Accounting Management' software (Sage Evolution, etc.).
  • Proficiency with excel.
  • Lives in Cape Town.
  • High proficiency in English.
  • Strong organizational skills and the ability to manage multiple tasks with attention to detail.
  • Ability to adapt to changing priorities and work effectively in a team setting.
  • Experience in client management/sales.
  • Experience in data management.
  • Able to start as soon as possible.

Working Conditions:

This role involves a combination of office-based tasks and interactions with warehouse personnel and our team in Johannesburg and Cape Town.
