**Position Overview**:We are seeking an organized and detail-oriented individual to join our team at Greenbean Learning Resources as an Administrative Assistant. The role involves managing & coordinating of orders to large clients, overseeing the movement of stock between warehouses, and providing essential administrative support. This position requires a detail-oriented individual with excellent organizational skills and the ability to handle multiple tasks in a dynamic environment.
**Key Responsibilities**:
**Day to day**:
- Ensure accurate and timely processing of orders, from order placement to delivery, while maintaining clear communication with all stakeholders.
- Monitor order progress, proactively addressing any issues that may arise and providing managers with updates.
- Generating quotes and invoices for clients.
- Coordinate the movement of stock between our two warehouses, ensuring optimal inventory levels and efficient distribution.
- Collaborate with warehouse staff to schedule shipments, verify stock availability, and manage transportation logistics.
- Oversee inventory transfers, reconciling discrepancies and ensuring accuracy in stock records.
**Administrative Support**:
- Perform general administrative tasks, including data entry, record-keeping, and document management.
- Prepare reports and presentations summarizing order and inventory data for internal and client-facing purposes.
- Assist in creating and maintaining efficient workflows to streamline operations and enhance productivity.
**Communication and Collaboration**:
- Facilitate effective communication between internal teams, clients, and external partners.
- Collaborate with cross-functional teams to ensure seamless coordination of operations and order fulfillment.
- Address inquiries and concerns from managers, providing timely and accurate responses.
**Education and Experience**:
- Minimum of Matric.
- Diploma/Bachelor degree preferred.
- 3 Years+ Administrative/Professional Experience.
- Knowledge of ‘Accounting Management’ software (Sage Evolution, etc.).
- Experience in client management/sales.
- Experience in data management.
- Proficiency with excel.
**Scope for Development**:
**Reports to**:
- This position will report directly to the Administrative Manager, will be part of a small intimate team and will work directly with Warehouse Staff, Directors and all members of the Greenbean Staff team.
**Personal Specifications**:
- Lives in/willing to relocate to Cape Town.
- High proficiency in English.
- High proficiency in Excel
- Strong organizational skills and the ability to manage multiple tasks with attention to detail.
- Ability to adapt to changing priorities and work effectively in a team setting.
- Able to start as soon as possible.
**Working Conditions**:This role involves a combination of office-based tasks and interactions with warehouse personnel and our team in Johannesburg and Cape Town.
