The main purpose of the role is to maintain and increase leisure sales at the highest or best rate possible for the Saxon Hotel and Shambala Game Reserve, to achieve or exceed revenue budgets and agreed sales targets.


Essential Skills and Qualifications:

Main Responsibilities & Duties:

Sales - responsible for sales activities for the Saxon Hotel and Shambala Game Reserve, including:

  • Managing, maintaining and growing existing relationships with all of hotels' supply and distribution channels: tour operators, ground handlers, DMCs, travel agents, online operators, with a view to:
  • Meet and exceed sales and occupancy targets at suitable yield levels
  • Develop new markets, new contacts and meeting new business targets
  • Identify and manage key accounts, as agreed with the Director of Sales & Marketing
  • Innovate in the sales arena to grow the hotels' overall sales and market share
  • Build, manage and maintain the hotels' database (direct and indirect)
  • Plan, execute and follow up for sales calls in structured manner

Sales Management

  • Dealing with daytoday enquiries and requests from operators, including complaints or guest issues
  • Setting up and managing contracts, barter arrangements, bed night targets and trade incentives in agreement with the Director of Sales & Marketing
  • Introducing and managing targeted special offers as and when required
  • Setting up and managing of agent fam trips and relevant feedback to all

Reservations

  • Have an indepth knowledge of Opera PMS and Opera S&C systems and ensure it is being used optimally to maximise our sales data (training will be provided if needed)
  • Draw and analyse weekly and monthly reports from the reservations system regarding agent bookings and trends and discuss in weekly sales meeting
  • Assist with reservations when necessary
  • Manage and plan unusual reservations e.g. groups, together with the Director of Sales & Marketing or Reservations Manager
  • Liaise with hotel and lodge management on any reservation issues, e.g., tricky clients or agent special requests
  • Assess and proactively manage periods of slack occupancy by reviewing forward sales statisticsregularly

Tradeshows/Sales calls

  • Review current tradeshow attendance and recommend annual schedule with the Director of Sales & Marketing
  • Schedule meetings, travel and attend as required
  • Grow the database from meetings at the trade shows and from sales calls with new agents and new contacts within agencies.
  • Follow up to maximise benefits of attendance
  • Personal follow up on tradeshow meetings and sales calls
  • Keep information in Opera S&C system up to date on activities and contacts with agents

Meetings:

  • Weekly meetings with reservations, marketing and sales team on occupancies, revenues, sales and marketing activities.
  • Monthly meeting to discuss hotels' performances and individual performance with Director of Sales & Marketing
  • Annual Rate setting meeting
  • Annual Sales & Marketing strategy meeting

Reporting

  • Prepare a monthly report for the Director of Sales & Marketing with description of activities and sales trends, including an analysis to targets
  • Review, analyse monthly revenue reports from Revenue Analyst to analyse trends and agree on continued or changed sales activities.
