Administrative Assistant and HR Coordinator

We are seeking a highly skilled and organized Administrative Assistant and HR Coordinator to join our team at ATripleA Recruitment and Temps.
About the RoleThe successful candidate will be responsible for providing administrative support to our executives, as well as handling various HR-related tasks. This is a fantastic opportunity for someone who enjoys multitasking, has excellent communication skills, and is passionate about delivering high-quality results.
Key Responsibilities:- Administrative Support:
- Prepare correspondence, reports, and materials for presentations and publications;
- Setup travel arrangements for executives, including flights, accommodation bookings, and visa applications;
- Maintain executives' calendars and ensure they are aware of their diary commitments daily;
- Prepare expense reports and coordinate meetings and conferences;
- Liaise with suppliers and vendors;
- HR Support:
- Manage full recruitment cycle, including job specifications and interviews;
- Capture new employees on the Talenger system and prepare employee files;
- Draw reports from the system, including headcounts, leave, medical aid, union, and pension fund information;
- Terminate employees on the system and manage roll-over leave reports/letters;
- Liaise with training providers and obtain quotations for training;
- Training and Development:
- Conduct training analysis with each staff member and meet with GMs to discuss staff training;
- Liaise with external trainers and ensure that all training is noted in the training register;
- Attend training committee meetings and note new appointments on the files;
- Occupational Health and Safety:
- Inspect all areas for compliance and draft policies, including Covid-19 related documents;
- Organize training sessions and prepare documentation for audits;
- Liaise with suppliers for contracts and certification purposes;
- ISO:
- Filling all policies on the database and drafting organograms and policies;
- Preparing reports and digitizing the ISO filing system;
- Compiling data for the ISO auditing process and digitizing the auditing process;
To be successful in this role, you will need:
- A high school diploma or equivalent qualification;
- Excellent communication and organizational skills;
- Ability to multitask and prioritize tasks effectively;
- Strong attention to detail and accuracy;
- Experience in administrative support and HR-related tasks;
- Knowledge of MS Office Suite and other software applications;
