Main Job Functions:

The Vehicle Administrator will be responsible for ensuring the correct processing of vehicle sales and monitoring of stocked vehicles. This includes:

  • Stock Book Control: Maintaining accurate records of stock levels and allocating stock numbers to vehicles.
  • Recording stock in stock book: Capturing stock movements and advising the sales team of stock availability.
  • Capturing stock into computer system: Ensuring accurate and timely data entry of stock information.
  • Safekeeping of keys to all stocked vehicles: Maintaining control of vehicle keys and ensuring they are securely stored.
  • Orders: Raising, posting, and processing orders in a timely and accurate manner.
  • Authorisation of all orders: Ensuring that all orders are authorised and processed correctly.
  • Invoicing: Ensuring that all costs are captured and invoiced correctly.
  • Deal Files: Managing and maintaining accurate deal files to assist in costing and invoicing.
  • Floorplan: Managing and consolidating the floorplan account, including monthly reconciliations with the general ledger and BMW statement.
  • Debtors: Reconciling, managing, recovering, collecting, and allocating vehicles.
  • Stock location and Sourcing: Ensuring that stock is accurately located and sourced.
  • Banking: Processing payments and transfers, as well as banking customers' cheques and financial institution cheques.
  • General administration: Performing various administrative tasks to support the team.
Key Requirements:

The ideal candidate will have:

  • Vehicle admin experience.
  • Debtors and Creditors experience will be advantageous.
