A leading pharmaceutical company is seeking a highly skilled and professional Administrative Support Professional to join their team in Pretoria-West. As the first point of contact, you will represent the organization in a professional and friendly manner, ensuring a seamless experience for visitors and callers.

Key Responsibilities

  • Greet and assist visitors with a warm and professional demeanor, providing exceptional customer service.
  • Manage incoming calls, redirecting them to the appropriate staff and taking messages when necessary, ensuring timely communication.
  • Maintain a tidy and welcoming reception area, reflecting the company's image and values.
  • Provide administrative support to various departments, including data entry, filing, and document preparation, ensuring accuracy and efficiency.
  • Assist in scheduling and organizing meetings, appointments, and events, utilizing calendar management skills.
  • Maintain and update records, databases, and filing systems, ensuring data integrity and accessibility.
  • Assist in the preparation and organization of reports and documents, utilizing technical writing skills.
  • Respond to inquiries via phone, email, or in-person, providing information and assistance, ensuring a high level of customer satisfaction.
  • Draft and proofread routine correspondence and emails, ensuring professionalism and clarity.
  • Monitor and control access to the premises, ensuring the safety and security of the office, adhering to company policies.
  • Issue visitor badges and maintain visitor logs, maintaining confidentiality and discretion.
  • Assist in data management tasks, including data entry, data retrieval, and data organization, ensuring accuracy and efficiency.
  • Handle multiple tasks simultaneously and efficiently prioritize work, utilizing time management skills.
  • Adapt to changing priorities and respond to urgent requests, demonstrating flexibility and adaptability.

Requirements

  • Must have a Matric certificate.
  • Must have at least 2 years' experience in an administrative support role.
  • Must have strong proficiency in both English and Afrikaans.
  • Must be proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Must have strong communication skills, both written and verbal.
  • Must have excellent organizational and time management skills.
  • Must have attention to detail and accuracy in all tasks.
  • Must have the ability to maintain confidentiality.
  • Must have a professional appearance and demeanor.
