About the Role:

We are seeking a highly organized and detail-oriented Administrative Supervisor to join our team at Econo Foods. As an Administrative Supervisor, you will play a critical role in supporting the Retail Manager in the daily business operations of our retail store. Your primary responsibilities will include supervising employees, communicating with customers, and carrying out directives from the Retail Manager.

Key Responsibilities:

  • Cash Management:
    • Prepare and hand out floats;
    • Coordinate float preparation for the admin desk;
    • Perform daily banking tasks;
    • Consolidate previous night's cash up;
    • Prepare paperwork according to HQ financial processes;
    • Be prepared for SBV collection;
    • Assist cashiers with cash drops;
    • Allocate change as requested;
    • Cash up at the end of every shift;
    • Correct cashier mistakes with consent from the Retail Manager;
  • Administration:
    • Administer old stock write-offs and stock transfers;
    • Check receipt invoices against orders and send them to GRV;
    • Follow up on GRV cycles;
    • Issue purchase orders;
    • Handle transfer requests for general store management;
    • Perform weekly filing, record-keeping, and database maintenance;
  • People Management:
    • Match attendance registers with biometric system records and print for sign-off;
    • Assist with HR-related queries or refer them to relevant personnel;
    • Process leave requests and forward them to HR after authorization;
    • Order and distribute uniforms and PPE to staff;
    • Recruit staff as instructed by the Retail Manager;
    • Manage casual payments;
    • Report and administer IR-related issues in conjunction with HR;
    • Set up the weekly cleaning schedule;
  • General Duties:
    • Maintain the canteen area;
    • Act as a stand-in for the Retail Manager when required;
    • Ensure adequate supplies of stationery, labels, soap, etc.
  • Teamwork:
    • Support department managers and colleagues;
    • Participate actively as a team member;
    • Perform other tasks assigned by the manager.

Requirements:

  • Grade 12 (Matric) certificate or equivalent qualification;
  • Able to read, write, speak, and understand Afrikaans and English;
  • At least 2 years of experience in retail administration or a similar role (preferably in the FMCG retail industry);
  • Proficiency in computer literacy and Microsoft Office suite (Word, Excel, Outlook);
  • Ability to interact with diverse groups of people;
  • Strong attention to detail;
  • Operational agility with problem-solving skills.
