Job Title: Safari Operations Consultant

Join ABC Worldwide as a key member of our team and take on the exciting role of Safari Operations Consultant. As a vital part of our operations team, you will be responsible for ensuring the smooth execution of our safari operations, working closely with our East Africa Specialists to manage administrative and operational tasks.

Key Responsibilities:
  • Administrative Support: Provide administrative support to our East Africa Specialists, managing tasks from quote stage to client travel.
  • Availability Management: Check availability of client and 3rd party properties through online platforms and email requests.
  • Option Compilation: Compile options for Africa Specialists to present in quotes, identifying upsell opportunities or alternatives when necessary.
  • Option Management: Provisionally hold options with 3rd party suppliers, amending as required during requote phases and ensuring timely release of options no longer in play.
  • Accommodation Management: Provisionally hold company accommodation on inventory management systems.
  • Confirmation and Verification: Confirm all services upon guest confirmation, checking for accuracy.
  • Invoice Verification: Check invoices match costs in quote systems and flag discrepancies to East Africa Specialists.
  • Communication and Liaison: Liaise with Finance teams to ensure efficient deposit allocation and pre-travel reconfirmations with suppliers.
  • System Updates: Update systems with timings and booking references on behalf of East Africa Specialists at reconfirmation stage.
  • Document Preparation: Prepare final documents for final checks by East Africa Specialists.
  • Issue Reporting: Report any errors or issues to line managers immediately upon discovery.
  • Support and Collaboration: Provide proactive support to colleagues during peak or leave times and work towards personal and departmental targets.
  • Professional Development: Attend training and proactively grow knowledge of company products, 3rd party suppliers, and destinations.
  • Adaptability and Proactivity: Take a proactive and adaptable approach to learning sales skills, systems, processes, and product knowledge.
Requirements and Qualifications:
  • Administration and Organization: Strong administration and organizational skills with great attention to detail.
  • Meticulous Attention to Detail: Meticulous attention to detail.
  • Communication and Customer Service: Excellent communications skills, a service delivery mindset, and a strong customer service focus both internally and externally.
  • Time Management and Multitasking: Excellent time management skills with the ability to multitask and prioritize tasks.
  • Computer Literacy: Good computer literacy including the use of in-house sales systems.
  • Pressure Management: Ability to work well under pressure.
  • Proactivity and Teamwork: Proactive mindset and ability to work independently as well as within a broader team setup.
Advantageous Qualifications:
  • East Africa Experience: Experience in and knowledge of East Africa safari sales advantageous (Kenya & Tanzania) – at least 3 years' experience of East Africa and 5 years' experience in the safari industry.
  • Sales and Operations Background: Experience working in a sales team environment and/or operations background.
  • Sales and Customer Service Skills: Strong sales & customer service skills (written & telephone).
  • Business Sales Systems: Knowledge of Business Sales Systems e.g. HubSpot, Bazaruto and ResRequest.

Conditions and Working Hours:
  • Office Hours: Work in the Cape Town office Monday – Friday, 9 hours per day including a 1-hour lunch break.
  • Availability: Be available after hours and on weekends (on standby occasionally) as and when needed.
  • Public Holidays: Work alternative South African public holidays for which you will be compensated with time off in lieu.
  • Overtime: Overtime may be required during peak periods for which you may be compensated with time off in lieu.
  • Emergency Phone: Take full responsibility for the 24/7 emergency phone on a rotational basis within the team.
  • Travel: May be required to travel for work from time to time.
