About the Role

We are seeking a highly organized and detail-oriented Auction Coordinator to support our operations in the Cape Town office. As a key member of our team, you will play a crucial role in ensuring the smooth execution of auctions and providing exceptional support to our clients.

Key Responsibilities

Legal Administration

  • Upload legal documents for properties in a timely and accurate manner.
  • Execute contracts on auction day.
  • Manage auction administration tasks.
  • Approve bidder documents prior to and on auction day.
  • Add deposit payments to our CRM system.
  • Approve bidders to participate in auctions.
  • Assist with client inquiries and provide support as needed.
  • Provide post-auction updates on offer status.
  • Attend pre- and post-auction calls.

Finance and Accounting

  • Manage client accounts, ensuring timely payments and accurate records.
  • Assist with allocating payments and adding them to our CRM system.
  • Liaise with bidders and the sales team to ensure deposit payments are made.
  • Liaise with attorneys to set up payment arrangements.
  • Manage refunds for unsuccessful bidders.

Sales and Invoicing

  • Ensure sales invoices and statements are accurate and sent to the relevant parties.

Debtors and Collections

  • Monitor and minimize debtors, ensuring timely payments by liaising with attorneys and private individuals.
Requirements

Experience

  • Minimum 2 years of administrative experience.
  • General knowledge of Microsoft Office.
  • Advanced Excel skills.
  • General knowledge of property search platforms (not required).
