We are seeking an experienced Auction Coordinator to join our team at Unframed People Services (pty) LTD. The successful candidate will be responsible for supporting all operations in our Cape Town office, located in the V&A Waterfront.

The ideal candidate will possess a keen attention to detail, effective time management, efficient prioritization, capability to work under pressure, dependability, strong organizational skills, and a flexible approach in a fast-paced environment.

Key Responsibilities:

Legal

  • Uploading of legal documents for properties in a timely and accurate manner
  • Contract execution on Auction Day
  • Auction Administration
  • Approving bidders' documents prior to and on Auction Day
  • Adding Deposit payments received to our CRM system
  • Approving bidders to bid
  • Assisting with Enquiries via phone and email
  • Assisting Agents with uploading images to the photography portal if required
  • Providing details post-auction on whether offers have been Accepted or Declined by the Vendor
  • Attending pre- and post-auction calls

Finance

o Client account management:

  • Monitoring the client account
  • Assisting with the allocation of payments and adding them to our CRM system
  • Liaising with bidders/the sales team to ensure bidder deposits are paid
  • Liaising with attorneys and setting up attorney payments
  • Managing refunds for unsuccessful bidders

o Sales invoicing/statements:

  • Ensuring sales invoices and statements are accurate and sent to the necessary parties

o Debtors:

  • Ensuring debtors are kept to a minimum and paid in a timely manner by liaising with attorneys and private individuals

Requirements:

  • Minimum 2-year administrative role
  • General knowledge of Microsoft Office
  • Advanced Excel skills
  • General knowledge of property search platforms (not a requirement)
