Key Responsibilities:

Front Desk and Reception

Provide exceptional customer service to clients and visitors, ensuring a warm and welcoming environment.

Manage the reception area, maintaining a tidy and organized space.

Administrative Support

Perform a range of administrative tasks, including answering phones, responding to inquiries, and managing correspondence.

Maintain accurate and up-to-date filing systems, both electronic and paper-based.

Scheduling and Coordination

Manage calendars and schedule appointments for team members and clients, ensuring seamless coordination.

Coordinate meeting room bookings and prepare facilities for meetings, including catering when necessary.

Client Communication

Handle client inquiries, providing information about services and directing them to relevant departments.

Follow up with clients as needed and maintain positive relationships.

Office Supply Management

Monitor and maintain office supplies inventory, placing orders as needed to ensure uninterrupted operation.

Team Support

Provide support and assistance to team members as needed, fostering a collaborative office environment.

Requirements:

  • Proven experience in a receptionist or administrative role.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and office management software.
  • Ability to multitask and manage time effectively.
  • Professional demeanor with a friendly attitude.
  • Ability to work independently as well as part of a team.
  • High school diploma; additional qualifications in Office Administration or related field preferred.
