Position: Travel Reservations Specialist

Department: Reservations

Reports to: Reservations & Flights Manager

Location: Remote with occasional office presence

Region Accountable for: Southern & East Africa

This role is essential in supporting the G Adventures Reservations team by managing daily reservation tasks across the Southern & East Africa region. The primary focus is to ensure that all reservation activities are executed efficiently and to the highest standards. Key attributes for success in this role include meticulous attention to detail, exceptional customer service, teamwork, and outstanding communication skills. This position is hybrid, requiring a minimum number of in-office days as determined by the region.

Key Responsibilities

  • Work across various brands and regions as needed.
  • Ensure proper representation of the G Adventures brand and other client brands in the region.
  • Provide administrative support to the Global Sales and Base Camp Operations teams, including responding to inquiries and completing assigned tasks.
  • Manage last-minute booking requests and changes with efficiency and clear communication.
  • Participate in special projects as required.
  • Collaborate closely with the Tour Operations team to ensure seamless execution of all tours and itineraries.
  • Work alongside the CEO (Tour leader) team to guarantee smooth trip operations and accurate information dissemination.
  • Assist the Reservations & Flights Manager and others in negotiating reduced cancellation fees from suppliers.
  • Support the finance department with invoice inquiries and related tasks.
  • Aid the contract specialist with special requests and projects.
  • Coordinate with the buying & contracting team to keep all rates and pricing updated in internal systems.
  • Respond promptly to phone calls, emails, and monitor inboxes.

Qualifications

  • Minimum of 1 year of experience in the travel industry.
  • Proficient computer skills.
  • Strong command of English, both written and spoken.
  • Familiarity with travel industry practices.
  • Excellent customer service skills.
  • Exceptional attention to detail and organizational abilities.
  • Strong time management skills.
  • Active listening and problem-solving capabilities.
  • Proficient in computer applications, including Word, Excel, and Google Suite.
  • Must be a team player, self-motivated, and goal-oriented.
