Travel Reservations Specialist

Department: Reservations

Reports to: Reservations & Flights Manager

Location: Remote

Region Accountable for: Southern & East Africa

This role is integral to the G Adventures Reservations team, responsible for executing daily reservation tasks across the Southern & East Africa region. The position demands efficiency and excellence in all reservation-related activities, with a strong emphasis on attention to detail, customer service, teamwork, and exceptional communication skills.

Key Responsibilities

  • Work across various brands and regions as needed.
  • Ensure proper representation of the G Adventures brand and other client brands in the region.
  • Provide administrative support to the Global Sales and Base Camp Operations teams, including handling inquiries and tasks as required.
  • Efficiently manage last-minute booking requests and changes.
  • Engage in special projects as assigned.
  • Collaborate closely with the Tour Operations team to ensure seamless tour and itinerary execution.
  • Coordinate with the CEO (Tour leader) team to guarantee smooth trip operations and accurate information dissemination.
  • Assist the Reservations & Flights Manager and others in negotiating reduced cancellation fees from suppliers.
  • Support the finance department with invoice inquiries and related responsibilities.
  • Assist the contract specialist with special requests and projects.
  • Work with the buying & contracting team to maintain up-to-date rates and pricing in internal systems.
  • Respond promptly to phone calls, emails, and monitor inboxes.

Qualifications

  • Minimum of 1 year of experience in the travel industry.
  • Strong computer skills.
  • Proficient in English, both written and spoken.
  • Familiarity with travel industry practices.
  • Excellent customer service skills.
  • Meticulous attention to detail and organizational skills.
  • Strong time management abilities.
  • Active listening skills.
  • Problem-solving and complaint resolution capabilities.
  • Proficient in computer applications, including Word, Excel, and Google Suite.
  • A collaborative team player, self-motivated, and goal-oriented.
