Procurement Administrator

**1.** **PURPOSE OF THE JOB**
To assist the Logistics Manager and Buyer with all administrative duties relating to procurement.
**2.** **KEY RESULT and PERFORMANCE AREAS**
- **Procurement**
- Liaise with forwarder to obtain status reports and update orders file with shipping details.
- Distribute status reports internally with summary if inventory included.
- Keep Goods in Transit records up to date. (GIT)
- Capture all foreign orders from instructions documentations in Syspro.
- Capture all foreign orders in the orders file.
- Ensure order file is accurate and up to date with latest information.
- Daily clearing instructions.
- Capture local purchase order in Syspro.
- Collate and distribute operations meetings report.
- Balance the orders file
- Daily maintenance of existing local purchase orders, updating local delivery dates, approved price changes and approved quantities. Follow up outstanding OC. All orders must have an OC number in orders file. (ETD weeks past due)
- Follow up supplier invoices (Current ETD week). The current Week ETD must have an invoice recorded.
- Local sourcing and ordering of stock.
- Assisting with procurement and administration, as well as final product shipping and transportation administration.
- Daily accurate capture of order confirmation file data.
- Stationery ordering and control and filing.

- You must be analytical, proactive and use your initiative, work independently
- Personal efficiency, Self-starter, Energetic and Enthusiastic.
- Attention to detail to ensure accuracy and thoroughness.
4. **QUALIFICATIONS**
- **Diploma in Logistics / Supply Chain Management preferred**
- **Advanced MS Office Skills **(Reporting, Presentation and Communication)
- **SYSPRO**
