Personal Assistant to Group Chief Executive Officer

Workerslife Management Services is a wholly-owned subsidiary of the PGC Group - An employment opportunity as a Personal Assistant to the Group Chief Executive Officer currently exists within Workerslife Management Services.
**1. **PURPOSE OF THE JOB**
A personal assistant (PA) typically carries out administrative work on behalf of one individual, unlike an administrator who tends to look after a team. The role of a PA is to free an executive’s time from administrative duties so that they can spend maximum time on strategic tasks.
**2. **MINIMUM REQUIREMENTS FOR THE POSITION**
- Grade 12/Diploma
- 3/5 Years' experience in a corporate environment
- Clear criminal record
- Excellent Admin Skills
- Must have excellent attention to detail
- Knowledge of Financial Industry will be beneficial
- Excellent communication skills in English
**3. COMPETENCIES**
- Attend, record and transcribe minutes of management meetings, working groups and other meetings as required
- A typing speed of at least between 70 - 80 words per minute
- Maintain meeting schedules and minute taking calendars
- Ensure minutes of meetings are recorded in an accurate and timely manner
- Drafting and circulating meeting agendas, preparing minutes, communicating meeting reminders, confirming venues and equipment
- Taking rough notes that accurately reflect the decisions and discussion that took place during the meeting
- Responsibilities and ownership must be clearly indicated within the minutes
- Copying and distributing the minutes to all relevant people as detailed in the Participants section
- Proven ability to collaborate effectively across different teams and cultures, strong relationship-building skills, and service-oriented attitude.
**4. CONTENT OF THE JOB**
- Act as the first point of contact for the CEO: deal with correspondence and phone calls
- Manage CEO diaries and organising his meetings and appointments
- Book and arrange CEO’s travel, transport, and accommodation
- Reminding the CEO and Executive Group of important tasks and deadlines
- Provide administrative, and scheduling structure and support.
- Prepare a variety of reports, including attending meetings to gather information.
- Review and summarise miscellaneous reports and documents and prepare background documents that are necessary.
- Initiate and respond to written and verbal correspondence, including composition, editing, and distribution.
- Create and maintain a system for organising and storing both electronic and hard-copy information and records and implement record retention policies and procedures.
- Operate, maintain, and keep abreast with the use of a variety of modern office equipment and programs, including computers, communication/recording equipment, storage systems, and media.
- Maintain appointment schedules and calendars, provide reminders as appropriate, and coordinate travel arrangements.
- Coordinate and organize meetings, including notification to prospective attendees, set-up, pre-, and post-meeting correspondence, meeting minutes and records, and any required follow-up.
- Follow up on assignments given to management staff and provide status reports to the CEO.
