BIOVAC is one of the leading sterile vaccine manufacturers rooted in Africa, with our core purpose being to "protect life". We are looking to hire a dynamic, passionate, confident, proactive and meticulous Imports & Exports Co Ordinator to join a goal-oriented team.

**QUALIFICATIONS NEEDED**:

- Grade 12/ Matric/ Equivalent.
- Certificate in Sales/ Marketing and /or Administration and/or Customer relationship management/ Import/ Export Certificate/ Equivalent.
- Training and working experience within imports and export risk management and mitigation.
- Experience in Tender processes and documentation preferably in SADC countries.
- Recognition is given to Prior Learning and practical experience.

**NECESSARY EXPERIENCE & INDUSTRY KNOWLEDGE**:

- At least 8 years experience in (functional area(s)).
- At least 3 years experience at middle to senior management level.
- Experience in quality and regulatory compliance within a cGMP facility.
- Program and project management.
- Participation in developing a departmental budget and monitoring expenditures for multiple projects & funding sources.
- Experience in aseptic (sterile) manufacturing.
- Experience in having faced successfully local and/ or international quality audits.

**KEY DUTIES & RESPONSIBILITIES OF THE ROLE**:

- Imports Administration for Export Products:

- Liaise with overseas suppliers on forecasted stock as per tender requirement once the official order has been received.
- Placing of orders with overseas suppliers.
- Liaise with suppliers on orders in the pipeline.
- Coordinate all the shipments and import documents with all suppliers.
- Management of supply for current tenders or quotes, provide suppliers with the supply plan, place confirmed order with supplier for delivery as per plan and coordinate shipment.
- Export Sales Administration:

- Sending out and stock availability with local suppliers prior to issuing a PFI.
- Ordering and receiving of stock from local suppliers and following on delivery dates.
- Processing of invoices and relevant documents in compliance with exports process and requirements for specific country eg. commercial invoices, packing lists, COA etc.
- Arrange for inspection of goods, when needed, with relevant organisations to inspect the cargo prior to leaving country and monitoring of clean report finds.
- Arrange for transportation/ flights and follow up with the freight forwarder to see that the goods have left and that the AWB has been cut and sent to the customer.
- Monitor dispatch that all the correct paperwork has been given to the forwarding company.
- Arrange in bond transport with all the necessary documents.
- Admin Support and Reporting and Business Contribution:

- Invoicing for both local and exports.
- Assist with compilation of tenders (both local and exports) and requests for quotations (RFQ's).
- Generating requisitions for the budget holder to authorize for the buying of stock.
- Assisting with validation of licenses for new clients by obtaining them and forwarding them to the RP (TBI) for approval.
- Assisting the department with improving the systems and processes.
- Risk identification & mitigation.
- Cross/ Inter-departmental management of expectations and influence over other departments to ensure sales Delivers.
- Continuously identify & recommend innovation and improvement initiatives and projects to Line Manager.
