- The HR Operations Hubs are responsible for the implementation of HR processes, support end-to-end employee lifecycle events and queries, ensuring compliance and governance as well as provide valuable insight. Our HR Administration team deliver a broad range of HR services for the full employee lifecycle including employee contracts, new employee onboarding, and leaver administration.

**Job Description**:

- The role is responsible for administrative/transactional duties across HR Administration and Systems, ensuring accuracy of information on systems, data and implementing service improvements, to continuously achieve exceptional customer and user experience. The purpose of this role is to support the wider HR team with the delivery of the strategic HR goal/s through excellent administration and delivery of exceptional experience to all De Beers stakeholders in RSA.

**Employee Experience**:

- Process HR transactions throughout the employee lifecycle, including offer letters, contracts, change forms, and leaver documents within specified SLAs.
- Assist in recruitment by adding jobs to Smart Recruiters and prepare and forward sign-on documentation to HRBP/HRG.
- Serve as the initial point of contact for HR queries, maintaining the HR inbox according to SLAs.
- Provide HR and general administrative support and advice to the HR team and stakeholders, including policy, annual leave, and benefits queries.
- Process benefits such as medical aid and pension fund, escalating queries as needed to the HR Administration Manager.

**Payroll Processing**:

- Maintain the monthly payroll tracker accurately and timely, including approval of administrative forms and updating HRIS for payroll cut off.
- Liaise with the payroll team to ensure accurate communication and processing of payroll changes.
- Complete monthly payroll checks for accuracy of information.

**Data Management**:

- Manage data entry within HRIS (SuccessFactors), verifying data for part-time employees, holiday balance accruals, and headcount reconciliation.
- Conduct regular data audits and cleansing to ensure accuracy of employee records.
- Maintain central archive of HR practices, policies, procedures, templates, and protocols.
- Maintain and update SFEC and SAP for various employment types and classes, including employee master data and qualifications.

**Ad Hoc**:

- Support ad hoc tasks and key projects.
- Assist with the delivery of HR activities related to sign-on, hiring, inductions, onboarding, transfers, and exits.
- Provide relocation assistance and daily HR-related assistance to employees.
- Test changes/enhancements on HR systems before implementation.
- Provide ad hoc casework admin support to HRBPs and HR.
- Work as part of the team to improve processes and automate work.
- Perform general administrative duties such as processing invoices and ordering stationery.

**Qualifications**:

- Grade 12 (NQFL 4)
- A recognized HRM or HRIS qualification (advantageous)

**Experience**:

- Knowledge of SAP/Success Factors is essential.
- 3 -5 years of previous administrative experience is essential
- Experience using HR Information Systems and/or Payroll System

**Knowledge and Skills**:

- Understanding various HR software systems, like SAP and Success Factors
- Computer literate with programmes such as word, excel, etc.
- Understanding of HR processes such as onboarding, sign-on, termination, etc.
