Executive Finance Assistant

**PURPOSE OF ROLE**
The Executive Finance Assistant plays a crucial role in supporting the financial operations of the organization by providing administrative and executive assistance to the finance team and financial executives.
**KEY PERFORMANCE AREAS**
Administrative Support:
- Effectively manages and schedules meetings and coordinate appointments for financial executives. This involves all direct and cross functional activities within the organization.
- Facilitates communication between the Finance Executive and various project teams.
- Facilitates communication between the Finance executive and other departments.
- Assists with business development and marketing activities including projects.
- Assists with the integration of the internal marketing department and finance department to ensure brand alignment.
- Provides stakeholder support.
- Handles correspondence related to finance matters.
- Prepare and distribute financial reports, presentations, and other documents as required.
- Maintain electronic and manual filing systems and organize financial records and documentation.
- Assists in coordinating activities.
- Meticulous document management.
- Assists with accurate minutes and records of meetings.
- Assists with the review of efficiency indicators within the finance department.
- Assist with quarterly newsletters.
- Ability to meet with stakeholders alongside the finance executive.
- Drawing up and preparing relevant reports required by the finance executive.
Financial Administration:
- Support the CFO office and finance team in day-to-day administrative tasks and special projects.
- Assists in the review of contracts.
- Conducts research and gather information to support financial decision-making processes.
- Assist in maintaining accurate accounting records and bookkeeping entries.
- Process supplier invoices, purchase requisitions, expense reports, and other financial transactions.
- Supports the documentation review process within the supply chain and project execution.
- Assists in preparing financial presentations and reports for internal and external stakeholders.
- Coordinate with other departments to gather financial information and resolve inquiries.
- Assist in compliance activities.
- Assist with maintaining financial policies, procedures, and controls.
- Assists in monitoring budgets and expenditures where necessary.
- Assists in reviewing supplier documents, project reports and other relevant reports.
- Ensures all documents are complete and accurate.
- Analysis and interpretation of reports.
- Assists in gathering and analysis of data between the finance executive and P&L owners including new business opportunities.
Communication and Collaboration:
- Serve as a liaison between the finance department and other departments or external parties.
- Communicate effectively with team members and stakeholders to ensure clarity and understanding of financial processes and requirements.
- Collaborate with colleagues to streamline workflows and improve efficiency in financial operations.
- Provide support and assistance to colleagues as needed to achieve departmental goals.
**QUALIFICATION AND EXPERIENCE**
- Senior Certificate
- Relevant tertiary qualification.
- Exposure to project management and related industry essential.

- Advanced computer literacy relating to MS Suite.
