WHO ARE YOU?
We are looking for an Operations Administrator to support the daily operations of our company. The operations administrator's responsibilities include keeping track of funds and reporting, and providing administrative support as needed.
**Minimum Requirements**:
- Matric (Non Negotiable)
- Higher Certificate (advantageous)
- Min 2 years experience in relevant field
- MS Office knowledge
**Duties and Responsibilities**:
**Operational activities**
- Ensure that the payroll file is accurately updated monthly and submitted to the Payroll Administrators within the due period.
- Ensure all staff are onboarded timeously and are provided with all the necessary tool to conduct work.
- Assist off-shore Managers with staff related queries. Gather all information and submit the information to HR to action, ensure the entire process is followed through (Misconduct,AOD,terminations,Resignations etc)
- Verify, capture and reconcile the weekly expense claims. Address any descreprancies and any abnormalties.
- Lease agreements, rental and licence fee are paid on time and the rental schedule updated timeously.
- Monthly Maintenance of PPI employee records (employee status, branch changes etc)
**Funding**
- Check funding against transactions and current running balance hourly.
- Liases closely with Finance Department and Banks with all funding related queries.
- Prepare weekly cash instructions, create and accept trades on PPI
**Monitoring and reporting**
- Monitor vehicle tracking reports weekly for off-shore managers and report back on any abnormalities to management
- Daily monitoring and reporting on cash movement on PPI
**General Administration**
- Management of Fuel cards
- Act as point of contact for offshore Management related to payroll, administrative and treasury. Generating and distribution of monthly payslips.
- Verify all invoices and submit timeously for payment.
