Role Purpose

To effectively coordinate and support various operations within the Group Facilities Department.
Requirements
- Minimim Qualification: Matric
- An administration related qualification would be beneficial
- 3-5 years’ experience in administration and coordination
- Knowledge and understanding of MS Office suite
Duties & Responsibilities

**Lease administration**
- Maintaining lease register
- Maintaining lease database
- Printing and obtaining lease signatures
- Dealing with lease queries
- Coordination of lease proposal documentation.

***Project Coordination/Administration**
- Purchase orders (services and furniture procurement)
- NB from a branch perspective and space planning in PDC. SOP in place for office moves.
- Updating cost report per project (this enables us to keep track of spend vs approved budget)
- Preparation of invoices for payment
- Project documentation and administration
- Minute taking & circulation

***Operational Coordination**
- Ability to deal with client queries
- Dealing with supplier queries
- Furniture delivery date confirmation
- Update & maintain branch database
- Office relocation co-ordination
- Vendor Coordination
- Asset Disposal e.g.,** **Coordination of donations
- old office furniture

**Client Services**
- Continuously monitor turnaround times and quality standards and resolve issues speedily to enhance client service delivery
- Build and maintain relationships with clients and internal and external stakeholders
- Participate and contribute to a culture which builds rewarding relationships, facilitates feedback and provides exceptional client service

**Finance**
- Ensure financial processes are adhered to
- Assist with the processing of invoices for projects
