- A Diploma or Degree in Business Administration or A Diploma or Degree in Accounting
**Minimum Requirements**
- Familiarity with audit processes or accounting principles is an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Attention to detail and accuracy.
- Ability to work independently and collaborate with a team.
- Strong time management skills and ability to prioritize tasks.
- Professional demeanour and strong interpersonal skills.
**Duties and Responsibilities**:
- **Document Management**: Assist in organizing and maintaining audit files, documents, and records in both electronic and physical formats. Ensure that all documentation is accurately labelled, filed, and easily retrievable.
- **Scheduling and Coordination**: Manage and coordinate appointments, meetings, and conference calls for audit team members. Prepare meeting agendas, materials, and presentations as needed.
- **Report Preparation**: Format and proofread audit reports, financial statements, and other relevant documents. Collaborate with audit professionals to ensure accuracy and consistency in presentation.
- **Client Support**: Assist in managing client interactions, including arranging client meetings, addressing inquiries, and maintaining positive relationships.
- **Travel and Logistics**: Make travel arrangements, including flights, accommodations, and transportation, for audit team members who are engaged in off-site assignments.
- **Expense Tracking**: Monitor and maintain expense reports, invoices, and billing information. Ensure timely processing and accuracy.
- **Office Operations**: Order and manage office supplies, equipment, and materials. Assist in maintaining a clean and organized office environment.
- **Administrative Tasks**: Handle general administrative duties such as photocopying, scanning, data entry, and filing. Assist with special projects as assigned.
