Executive Personal Assistant - Silverlakes, Pretoria - Job ID 3874

**Position details**:
Type: Permanent
Reports to: CEO
Reporting, total staff compliment: 1-10
Job titles of direct reports: All staff below the CEO
Key external relationships: Clients, Mines, Service Providers
Primary Purpose: Assist the CEO, with the day to day running of his personal life and all aspect of business.
Travel requirements: Travel Frequently, International

Job description / core competencies:
Manages the diary of the CEO.

Travel with the CEO

sometimes on short notice

Screens telephone calls and takes messages.

Screens text messages and respond if and where necessary.

Schedules meetings - Follows up on meetings / appointments with internal and external stakeholders.

Prepares the necessary documentation for scheduled meetings (e.g. maps, directions and parking arrangements).

Directs messages to the correct role players in a professional manner

Welcomes CEO’s visitors on arrival - Coordinates / prepares refreshments for CEO’s visitors.

Arranges flights, accommodation and car hire for employees in the business

Prepares travel requisitions. - Quality checks all documents going out of the Office of the CEO.

Acting as liaison between external stakeholders

Prepares the corporate calendar.

Responds to basic queries from external stakeholders on behalf of the CEO.

Takes minutes at CEO’s meetings and distributes to the relevant role players.

Types up business letters, memorandums and general correspondence both internally and externally.

Ensures effective and efficient administrative processes are in place

Facilitates the coordination of internal events for the business

Ensures all documentation for events are authorised.

Assists with other administrative duties as and when required

**Job Qualifications, Skills & Experience**:
Advanced Certificate in Secretarial / Administration (NQF 5)

Qualification at NQF 6 in Office Management will be an added advantage

Three (3) years’ experience in a Secretarial Role for a Senior Manager - Mathematically minded

Knowledge of basic accounting

Typing and MS Office Suite proficiency

Business English (additional languages like French or Portuguese will be advantages)

Communication and interpersonal relations - Keeping Minutes - Punctual

Coordination

Professionalism

Efficiency

Flexibility

Attention to Detail

Confidentiality

Well mannered

Well groomed

High level of work ethic

Be able to work and function under pressure

Attend to kids needs (arrange driver for collection and drop off, functions, shopping ect)

Must have:
Passport

Own reliable transport

Drivers license

Full medical aid (for own expense)
