Executive Personal Assistant

We are looking for a dynamic individual to join our Company To provide end-to-end secretarial support to the Chairperson of the Board (and on occasion to the CEO) by acting as the first point of contact to ensure all administrative requirements are handled within the required timeframes and standards.
It will also be a requirement of the individual from time-to-time to be available for events on weekends or after-hours and will need to be flexible with working times.
Criteria
- National Diploma (NQF level 6) in Office Management / Executive Management / Business Management
- 5 years’ experience in a senior Secretarial or Executive Assistant role
- Requires a driver's license and own vehicle
- Medically fit
**Ideal**
A Bachelor's degree in Business Administration and experience in Fleet / Logistics company would be advantageous.
DUTIES WILL INCLUDE
**Executive and Management Support**
- Develops, updates and monitors Afrirent’s annual strategic business calendar to ensure that all meetings are accounted for and scheduled throughout the year
- Schedules appointments and maintains daily calendars of the Executive team and actions all changes and reminders
- Follows up on important stakeholder communication and actions accordingly
- Manages the procurement of stationery for Chairperson’s office
- Coordinates and schedules quarterly Executive and Management meetings
- Compiles and distributes internal memos, reports, business presentations, agendas, letters and report as required
- Ensures that the Executives’ offices are maintained in their absence
- Coordinates the distribution / collection of pre-meeting materials, ensuring that all pre-readings and reports are timeously available
- Takes minutes at meetings and follows up on actions required and matters arising from the Board / Stakeholder / Management meetings
- Compiles the Executives’ monthly expenses and submits to Finance
- Receives visitors in professionally and effectively
- Takes accurate and comprehensive messages and ensures prompt delivery to the Chairperson
- Maintains and effective and updated filing system which allows for easy access and retrieval of information
- Prepares and manages a budget for the office of the Chairperson
**Meeting Management**
- Coordinates all logistics and travel requirements for meetings
- Coordinates all Executive travel arrangements, accommodation, car hire and all related logistics and documents for both local and international travel requirements
Other Skills:

Pay: From R123 456,00 per year
Ability to commute/relocate:
- Pretoria, Gauteng: Reliably commute or planning to relocate before starting work (required)
