Our client's prestigious company is seeking an Executive Personal Assistant to join their dynamic team and support their CEO and CFO. As the right-hand person to these top-level executives, you will play a crucial role in ensuring their success and efficiency. This is a chance to make a real impact on their organization's growth and development.
**Requirements**:
- Advanced Microsoft Office skills, including proficiency in Word, Excel, PowerPoint, and Outlook.
- Secretarial or office management qualification, demonstrating a strong foundation in administrative tasks and responsibilities.
- 3 to 5 years of experience in a similar role, preferably supporting C-level executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Impeccable verbal and written communication skills, ensuring effective interaction with individuals at all levels of the organization.
- Outstanding attention to detail and a commitment to maintaining high-quality standards in all aspects of work.
- Strong problem-solving abilities, anticipating needs and providing innovative solutions.
- Demonstrated ability to handle confidential information with the utmost discretion and professionalism.
- Solid understanding of financial principles and practices, including budgeting, expense control, and financial record-keeping, to effectively manage financial resources and contribute to the organization's financial controls.
Key Responsibilities:
- Coordinate and arrange meetings, conferences, and travel itineraries, handling all logistics and ensuring a seamless experience.
- Prepare and edit documents, presentations, and reports with exceptional attention to detail using advanced Microsoft Office skills.
- Conduct research and gather information to support decision-making processes and project initiatives.
- Manage confidential and sensitive information, exercising sound judgment and maintaining utmost confidentiality at all times.
- Proactively identify and address administrative needs, streamlining processes and implementing improvements to enhance efficiency.
- Collaborate with internal and external stakeholders, fostering positive relationships and facilitating effective communication.
- Oversee administration related to budgets and payments, ensuring effective record-keeping and accurate documentation.
- Control and verify expense claims, ensuring they comply with company policies and obtaining appropriate authorizations.
- Prepare and review invoices, ensuring accuracy and timely processing, and arrange for payments to vendors and suppliers.
- Identify opportunities to enhance cost-effectiveness and operational efficiency, proposing innovative solutions and implementing best practices.
- Take responsibility for managing financial and other company resources placed under your control, optimizing their utilization and ensuring compliance with regulations and policies.
