Duties and Responsibilities

  • Clock Cards and Gate Register _
  • Issuing weekly shift roster, clock cards, and gate sheets.
  • Calculate, reconcile and capture hours worked from clock cards weekly, ensuring leave and overtime forms are received and authorized.
  • Finalise calculations for monthly payroll.
  • Report on hours owing/due weekly.
  • Enquire about employees that are absent on a daily basis.


Employees / Managers
  • General_
  • Handle full function of recruitment.
  • Obtain personal details and employment details (from the manager).
  • Maintain employee details and changes to employment details on an ongoing basis.
  • Prepare contracts and go through contracts with employees, explaining contents and disciplinary measures etc.
  • Do induction training.
  • Ensure the safety office is informed of the safety clothing that must be issued.
  • Issue ID cards.
  • Ensure company procedures are followed when an employee resigns.
  • Maintain employee files.
  • Monitor staff performance.
  • Ensure job descriptions are done and current for every occupation.
  • Advise line managers and other employees on employment law and company policies/procedures.
  • Warnings/Disciplinary Actions / Grievances. _
  • Issue warnings when required, updating disciplinary records of employees.
  • Orchestrate disciplinary actions (liaise with SEESA).
  • Take care of grievances received from employees.
Pension Fund Administration

  • Additions / Exits / Claims forms to be completed and submitted
  • Employment Equity _
  • Ensure all legislative requirements are met.
  • Chair committee meetings.
  • Prepare data for annual submission.
  • Training and Skills Development _
  • Chair training committee meetings.
  • Oragnise and keep records of training.
  • Ensure all legislative requirements are met.
  • Prepare data for annual submission.
  • WCA (RMA)_
  • Report injuries and obtain claim numbers.
  • Ensure documents required by RMA are submitted.
  • Ensure claims are submitted when applicable.
  • General _
  • Accurately produce and maintain manual and computer files and hard copy filing systems for all administrative processes in accordance with procedures.
  • Ensure that all correspondence in the form of standard letters and forms and related filing is carried out strictly in accordance with company policies and service procedures.
  • Support Management in adhoc duties as required.
  • Adhere to all company policies, procedures, business ethics and codes and ensure that they are communicated and implemented.
  • Risk Management _
  • Managing current and possible risks within the company as a method of decreasing the companys exposure to the
- risk.

  • Identify the risk, evaluate all possible remedies, and report to management the necessary steps to alleviate the risk.
  • Make use of all instruments at your disposal, and determine a method of counteracting possible ramifications arising from
- risks.

  • Report any SHEQ incidents or accidents immediately as per SHEQ policy.
  • Use the PPE required for the specific tasks and working conditions.
  • Meet and monitor companies quality objectives.
  • Check the quality of your own work for accuracy and completeness.

Requirements:

  • A senior certificate.
  • 5 years relevant experience.
  • Relevant HR qualifications.
  • Computer literacy (Excel, Work and Outlook) is essential.
  • Ability to work with people and excellent communication skills.
  • Strong administrative and organizational abilities.
  • Must be able to work without supervision.
