Key Responsibilities:

Employee Relations Disciplinary Support:


  • Provide guidance and support to managers in handling employee disciplinary matters.
  • Ensure compliance with company policies, legal requirements, and fair disciplinary procedures.
  • Conduct investigations and recommend appropriate actions to resolve employee relations issues.
  • Assist management on getting evidence for cases.
  • Book and manage the hearings with labournet
  • Prepare the warning as per the information received from the Manager or information loaded on the Bitrix Workflow
  • Ensure the warning is uploaded on the workflow and Personnel Folder
  • Ensure signed copy is returned
  • Ensure Abscontion Notifications is prepared and sent out via Reigistered mail, mailed to employee with read report received or w'app. Ensure we get 2 blue ticks. Proof that it was read.
  • Update Trello Board with Abscontion notification
  • Update Payroll with Abscontion Notification
  • Prepare Notices for Hearings, 48 hours before the date it should be isssued
  • Arrange LabourNet to conduct hearing, get dates and notify all parties, send meeting invites
  • Set up meeting to prepare for hearing with all stakeholders, BM or RSM and NOM
  • Prepare the Impact Statement as per the information received
  • Prepare the witnesses for the hearing, questions to be discussed with them
  • Prepare questions for the accused, witnesses
  • Prepare Disciplinary pack for LN, Managers
  • Send our Recommendation to Nikki for approval
  • Send out Recommendation to staff member
  • Update all parties involved on Trello Board, w'app groups if dismissed.
  • Keep up to date with all current Legislation with regards to Parental Leave, POPI
Act, COVID, Vaccinations etc

  • Ensure that the HR Workflows are attended to and actioned daily
  • Active liason with LN on various topics, queries, case files, hearings, policies etc
  • Attend all meetings with LN on various topics as per request from Nikki
  • Attend meetings with LN on Contracts, Policies or Procedures.
  • Ensure we make immediate contact with Case Managers regarding the case upon receiving the notice to confirm date, time, reason, validality
  • CCMA preperation in consultation with all stakeholders to include LN
  • Ensure the prep meeting is set up with LN to ensure the Recommendation from the outcome from the Commisioner would be in favour of us.
  • Arrange and inform all stakeholders of CCMA date, Nikki to be informed at all times on status of the case.
  • Ensure Counselling Sessions are recorded and loaded on their file and relevant
Workflow

  • Provide references to ex employee taking the POPI Act into consideration
  • Retrenchments: Prep meetings, counseling, outcome
  • Prepare warning as per the info received from the Manager/Workflow
- upload the warning on the workflow
- update Trello Board with signed copy

Employment Contracts:

  • Oversee the creation and maintenance of employment contracts for all employees perm and fixterm contracts.
  • Oversee the creation and maintenance of employment salary increases and promotion letters
  • Ensure that contracts comply with legal requirements and contain relevant terms and conditions.
  • Review and update contracts as necessary to align with organizational needs and changes in employment law.
  • Prepare Contracts as per the requirement, FTC, Perm or extended interview
  • Ensure contract sent for signature on the day the new Employee starts
  • Ensure signed contract mailed to Engela/Annie and added on payroll
  • Ensure reminders are sent out to RSM's for contracts that needs extension
  • Ensure contracts are being updated as per changes to BCEA after consultation with LabourNet
  • Ensure addendums are attached where applicable
  • Ensure Staff number is obtained from Engela/Annie and updated on Workflow for
ERS purposes.

  • Ensure that the following documentation is updated to the Workflow created for new Starters (Employees). All boxes need to be ticked. Follow up on outstanding boxes not ticked.
