Client owns a diversified portfolio with a wide range of retail, office and industrial tenants located throughout South Africa.

Executive Management Services
Position Objective


To provide quality assistance and support to the COO maintaining relevant schedules, administrative duties, general Executive team and office management support.

The individual works directly with the Chief Operating officers closely with the legal and operations teams.

Reporting structure_

  • Reports directly to the Chief operations officer and Manager EMS.

CEO, COO& CFO Support_

  • Complete all business and personal requests for the COO.
  • Diary management.
  • Travel, personal arrangements only.
  • Assistance with board reports.
  • Schedule and attend meetings on behalf of executives, taking notes
and recording minutes.

  • Managing the daytoday operations of the Chief Operating Officers
Office.

  • Organising and maintaining files and records.
  • Planning and scheduling meetings and appointments.
  • Managing projects and conducting research.
  • Preparing and editing correspondence, reports, and presentations.
  • Work well independently and with a team to solve problems.
  • Serve as a friendly, hardworking, and punctual employee.
  • Organise and prioritize work in order to complete assignments in a timeous
and efficient manner.

  • Utilise strong writing and research skills.
  • Handle sensitive information in a confidential and respectful manner.
  • Assess executives needs and requirements, formulating action plans
to achieve them.

  • Efficiently managing all important telephone calls: collecting and Sorting mail, screening and initiating telephone calls; back up to reception
  • Together with the EMS manager and COSEC assist, Coordinate and compile the corporate calendar for all board, committee, and management meetings.
  • Process payments for all personal and businessrelated accounts.
  • Arrangement of office social events
  • Manage Reception, kitchen staff.
  • Building a knowledge and understanding of the clients (external and internal) and relationships with their support staff to enable and facilitate excellent client service and interaction.
  • Preparing, collating, compiling, editing, and finalising internal documentation
  • Preparing proposals, documents, presentations, and organograms
  • Supporting the exco members direct reporting line with administrative duties

  • Implement the Strategy objective in line with the approved strategy

- ordinate, information flow & documents between proposed projects, obtaining quotations, implementation and inspection

  • Assist in implementing the projects across the country by co ordinating the various resources
  • Assist in visual inspection and reporting
  • Assist in final handover of projects to the local communities / stakeholders

  • Daily management of IT, Tech support with Itech.

Office Management

  • Manage the daily operations of the office, including ordering supplies, scheduling appointments, and organizing company events and functions.
  • Manage board room and meeting.
  • Answer phones and take messages.
  • Greet visitors and provide customer service.
  • Develop and maintain filing systems.
  • Track and manage office expenses.
  • Health and Safety compliance.

Salary:
R25, R35,000.00 per month

Ability to commute/relocate:

  • Rosebank, Gauteng: Reliably commute or planning to relocate before starting work (required)

Experience:

  • Administrative office procedures, practices and equipment: 1 year (preferred)
