To ensure that functions as prescribed by the Dean/Faculty Manager are carried out, and to co-ordinate through effective supervision all the administrative functions of the Faculty Office and faculty administration.

To act as Secretariat to various committees in the faculty.

  • Job Knowledge, Skills and ExperienceA BTech in Office Management & Technology or equivalent qualification.
At least four (4) years' relevant experience working in a Higher Education Institution in a Faculty Office environment
At least two (2) years' supervisory experience in Faculty Office Administration
Extensive knowledge of Integrator Student Management System (ITS) and sub-systems including technical platforms/interfaces used
Proficiency in MS Office 365

Recommendation
Working experience as an Assistant Faculty Officer or related role

  • Key Performance Areas / Principal Accountabilities
    Strategic Planning:
  • Plan faculty year programme together with the Dean, Faculty Manager, Academic HODs, and Office of the Registrar

Administration:

  • Admission of students, including BAT testing and ARS process
  • Registration of students, including BAT testing
  • Timetabling: Tests and Examinations
  • Marks processing, including MAS process and computation
  • Graduation processes.

Academic structure of qualifications and knowledge of the HEQSF

  • In conjunction with the Dean and HODS deals with facilitating approval and maintenance of the academic structure.

Committee Administration:

  • Facilitation and implementation of actions from faculty, Senate and Senate Committees relating to student matters
  • Arranges Faculty Executive Committee meetings.
  • Performs secretarial function in faculty meetings.
  • Ensures implementation of decisions taken at meetings.
  • Communicate decisions to students.

Project Management

  • Initiate projects for the Faculty Office, for example registration planning.
  • Effective communication with all stakeholders.
  • Record keeping and data management.
  • Human Resource Management, Budget and Marketing
  • Interdepartmental relations.
  • Health and safety.
  • Governance, Risk and Compliance.
  • Liaison with internal and external stakeholders.
  • Perform other functions as may be assigned by the Line Manager.
