About the Job and the Company:

  • Monitoring Budget: Keep an eye on the administration budget, update it, and provide weekly reports
  • Project Plans: Prepare and review different project plans. Offer assistance on special projects and initiatives if required
  • Vendor Management: Handle relationships with travel providers, airlines, parking services, car rental companies, and hotel corporate agreements
  • Meeting Management: Ensure all necessary resources for meetings are available in advance. Confirm meeting agenda and owner details for successful outcomes
  • Communications and Presentations: Collaborate with senior leaders to prepare daily communications and presentations. Review and draft content for various external communication forms
  • Tender Process Management: Oversee the tender process from receipt to submission ensuring completeness and appropriateness
  • Document Control: Maintain up-to-date bookings, organize office supplies, and files, records, and databases
  • Executive Support: Coordinate agendas, presentations, and deadlines for executives. Process company-related expenses and purchases

Qualifications:
  • University Degree or equivalent experience in a related field
  • Minimum of 5 years of experience supporting senior executives
  • Strong organizational skills, attention to detail, and ability to prioritize tasks effectively
