Summary
Operational requirements
- Help Desk Management: Serve as a point of contact for tenants who wish to report internal unit maintenance requirements to Own Haven. Answering all maintenancerelated calls put through by reception in a professional/personable manner. Develop an understanding of the nature of the maintenance that is being requested.
- Maintenance Administrator: Take responsibility for the implementation of OHWEB as a taskbased management tool within the facilities department. Review a sample of jobs loaded into the system regularly and check for completeness in the details. Issue purchase orders to technicians for stock purchases from suppliers.
- Pastel and
Stock Control:
Upload invoices received from the Maintenance Administrator (coded as stock items) into Pastel, increasing stock value. Process all in-house maintenance jobs with the status "Approved" by recording all stock items used in pastel-decreasing stock.
- MDA Recoveries
- Insurance: Maintaining a schedule of all active policies detailing cover, monthly premiums, claims, and ratios of claims to premiums—allowing staff to be informed of whether or not claims should or shouldn't be submitted.
- Vehicle fleet management.
- General and servicelevel agreements.
- Staff management.
Minimum qualifying requirements
- Diploma in Business Administration or equivalent
- Facilities Management qualification or equivalent.
- At least 3 years of maintenance or office administration experience
- Management experience is an advantage
- A driver's license is essential.
