RECEPTIONIST

TASK:


The Receptionist is responsible for welcoming and caring for guests throughout their stay, during reservation and upon departure from the hotel.

He or she ensures constant guest satisfaction by providing a friendly and professional service, advice and information on the hotel, Clubhouse and its surroundings.


RESPONSIBILITIES:

Guest Relations:
- "Heartist" Welcomes the guest on arrival with attentiveness and interest.

  • Ensures an efficient service whilst remaining friendly, courteous and available
  • Contributes, through warm gestures and a personal approach, to encouraging customer loyalty
  • Anticipates customer needs, providing a response to every request as soon as possible, handling complaints and grievances, informing his or her manager of any problems

Job/Service:

  • Computer literate
Multi-tasks, carrying out activities relating to reception, the cash register, the switchboard

  • Handles telephone calls, messagetaking (managing the switchboard and front desk)
  • Logs reservations
  • Implements checkins and checkouts in compliance with internal procedures
  • Informs the guests of the terms of their stay, services offered by the hotel and their schedule
  • Alerts other departments of any malfunction of which the customer informs him/her (floors, technical)
  • Communicates constantly with the restaurant team

Commercial / Sales:

  • Promotes different hotel services to optimize sales
  • Applies the pricing policy, is familiar with the status of the hotel to maximize occupancy and the average price

Procedures:

  • Takes care of invoicing, customer receipts and change, is responsible for petty cash, files supporting documents, checks credit limits, night audit
  • Checks the night audit
  • Applies internal procedures (guest relocation, free services, laundry, etc.)
  • Ensures closing every day and prepares the report on activities and any incidents occurred overnight (daily night audit)

Health and Safety, Security and Environmental responsibility:

  • Ensures the cleanliness and arrangement of his or her workspace, whether or not visible to customers
  • Contributes to the good condition and cleanliness of changing rooms and communal areas that he/she uses
  • Knows and applies basic health and safety rules (fire regulations, etc.)
  • Ensures the safety of equipment and people, is responsible for the establishment after the dayshift managers have left.
