Job overview:
My client is looking for an International Move Co-ordinator to provide door-to-door coordination of International household goods shipments. Manage import, export and relocations for corporate clients, agents, and individuals.

Perform all functions relative to same, including but not limited to:

counselling clients on current customs procedures, import/export documentation, account policies, acting as single point of contact for client, providing rate quotations and bids, booking, routing, and completion of shipments, as well as billing and accounting related functions for same.

Manage agent relationships and ensure our service providers are compliant with documentation, procedures and reply within deadlines.

  • Maintain uptodate files, including computer systems, move files, account contract and reports, vendor and agent rates, customs regulations;
  • Team player, exchanging uptodate information as needed, assisting colleagues as needed;
  • Tracking and reporting, internal and external;
  • Input all relevant information into STAR (Shipment Tracking And Reporting) system;
  • Issue and update daily, weekly, monthly reports as needed;
  • Selfmanage with reports available in STAR system;
  • Responsible for accurate rating/ costing of shipments and assuring payment of same;
  • Review and authorize all invoices for doortodoor relocation;
  • Authorize special requests for payment for THC, collect charges, claim payments, purchases, etc.;
  • Research, quote, and book moves;
  • Receive booking from client;
  • Plan and route the move;
  • Issue documents to manage the move;
  • Advise the customer of Accounts moving policy and restrictions;
  • Report move status to Account, agent, and client as needed;
  • Request exceptions to moving policy as needed;
  • Handle special requests and address problems as they arise;
  • Escalate potential issues and escalations to line manager
  • Gather details and prepare timelines to respond to corporates timeously and accurately for escalations
  • Determine and authorize methods of payment for services, including credit card, cheque, wire transfer, etc.;
  • Pursue payment on accounts receivable and accounts payable when needed;
  • Must be available and able to work anytime needed by department (either before or after shift and weekends as needed);
  • Participate in proactive team efforts to achieve departmental and company goals;
  • Other duties and responsibilities as assigned;

Education and/or Experience:

  • A bachelor's degree OR specific industry experience OR any similar combination of education and experience;


 Required
  • Three (3) years of industry experience, transportation, and freight forwarding experience or any combination;
  • Proficiency in all Microsoft Office programs: Excel, Outlook, PowerPoint, and Word;


 Required
  • Excellent English communication and written skills;
  • Good organizational, phone etiquette, and multitasking skills required;
  • High level of customer service skills
  • Empathetic personality

Computer skills:

  • Proficient in all Microsoft Office programs, calculator, keyboarding, and data entry;
  • Internet: Navigating the Internet to find information, including the ability to open and configure standard browsers; use searches, hypertext references, and transfer protocols; and send and retrieve electronic mail (e
- mail);

Physical demands:

  • Stand 25%; Walk 25%; Talk or hear 100%; Sit 75%; Ability to lift and pull up to 50 lbs.; Use hands, fingers, dexterity, grasp, push 100%; Reach with hands and arms 25%; Close vision (clear vision at 20 inches or less).
