**Role Summary**
**Responsibilities**:
**Office & Systems Management**:
- Oversee day-to-day office operations, including managing office supplies, equipment, and facilities.
- Coordinate administrative tasks such as customer orders, scheduling meetings, handling correspondence, invoicing, delivery bookings and maintaining records.
- Ensure a clean and organized office environment (maintain the filing and record keeping systems)
**Accounting and Financial Management**:
- Utilize QuickBooks for financial transactions, including invoicing, expense tracking, and payroll management.
- Prepare monthly slips, paperwork and financial reports, and
- Assist with procurement, planning and budgeting.
- Collaborate with the finance team (Book keeper and accounting officer) to ensure accurate financial records.
**Human Resources Support**:
- Assist with recruitment processes, including posting job openings, screening resumes, and scheduling interviews.
- Maintain employee records, track leave balances, and process payroll.
- Coordinate employee onboarding and offboarding procedures.
**Technology and IT**:
- Troubleshoot basic IT issues and liaise with external IT support when necessary.
**Communication and Coordination**:
- Serve as a point of contact for internal and external stakeholders.
- Coordinate meetings, conferences, and travel arrangements.
- Draft and proofread documents, presentations, and reports.
- Vendor Management:
- Collaborate with suppliers, contractors, and service providers.
- Negotiate contracts, monitor service levels, and process invoices.
**Qualifications and skills**:
- Matric
- Proven experience as an office manager or in a similar administrative role.
- Strong organizational and multitasking abilities.
- Admin experience dealing with South African retailers and dropshipping companies
- Proficiency in QuickBooks (or other accounting software) and Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Attention to detail with problem-solving mindset and have a can-do attitude
- Sense of humor, not take things too seriously and have the ability to laugh and learna lot
