**Job Title: Tenders Administrator/Assistant Bookkeeper**
**Overview**:
**Responsibilities**:
1. Tender Administration:
Assist in the coordination and management of tender processes from start to finish, ensuring all deadlines are met and submissions are of high quality.
Support the review and analysis of tender documents to identify requirements and gather necessary information for submissions.
Collaborate with team members to compile relevant data and documentation required for tender responses.
Assist in the preparation and formatting of tender submissions, ensuring compliance with client specifications and guidelines.
Maintain accurate records of tender opportunities, track progress, and provide timely updates to stakeholders.
2. Assistant Bookkeeping:
Support the maintenance of financial records, including accounts payable and accounts receivable activities.
Assist in processing invoices, preparing payment vouchers, and reconciling vendor statements.
Help maintain accurate financial data in accounting software, ensuring entries are up-to-date and categorized correctly.
Assist in generating financial reports such as balance sheets, income statements, and cash flow statements as needed.
Collaborate with the bookkeeping team to address any discrepancies or issues identified during routine audits or reconciliations.
3. Administrative Support:
Provide general administrative support to the team, including managing correspondence, scheduling meetings, and organizing documentation.
Assist in the preparation of presentations, reports, and other materials for internal and external stakeholders.
Maintain confidentiality of sensitive information and exercise discretion in handling proprietary data.
Assist with adhoc projects and tasks as assigned by supervisors or management.
**Requirements**:
Previous experience in tender administration or bookkeeping roles is advantageous.
Strong organizational skills with the ability to prioritize tasks and manage time effectively.
Excellent attention to detail and accuracy in data entry and documentation.
Strong communication skills, both written and verbal.
Ability to work independently as well as collaboratively within a team environment.
High level of integrity and professionalism in handling confidential information.
**Preferred Qualifications**:
Prior experience using accounting software (e.g., QuickBooks, Xero) is a plus.
Familiarity with tender processes, contract management, or procurement procedures.
Knowledge of basic accounting principles and practices.
Ability to adapt quickly to changing priorities and work under pressure.
**Salary**: R6 500,00 per month
