**KEY PURPOSE OF JOB**

The Accounts Payable Clerk is responsible for managing and processing payments owed by the company to suppliers. This includes verifying invoices, reconciling accounts, and ensuring all transactions are properly recorded in the company’s financial systems

**KEY TASKS**
- **Payment Processing**: Prepare and process payments to suppliers according to company policies and procedures, ensuring adherence to payment terms and deadlines. Manage prepayments and maintain proper record
- **Reconciliation**: Reconcile monthly supplier statements, account discrepancies, and resolve any payment or billing issues with suppliers. Monitor supplier credit limits. Follow up on Goods in Inspection, Outstanding PO’s and Outstanding GRN’s
- **Record Maintenance**: Maintain accurate records of accounts payable transactions, including invoices, receipts, and payment documentation. New supplier creation on the financial system according to company policies. Effective filing of import documentation needed for international supplier payments
- **Month-End Closing**: Assist with month-end and year-end financial closing by ensuring all payables are accurately recorded and accounted for
- **Supplier Communication**: Communicate with suppliers to clarify payment terms, resolve disputes, and ensure smooth processing of transactions
- **Reporting**: Prepare reports on outstanding payables, overdue accounts, and cash flow for management review
- **Compliance**:Ensure compliance with company policies and financial regulations, maintaining confidentiality and accuracy at all times
- **Audit Support**: Assist with internal and external audits by providing required documentation and supporting the audit process

**PREREQUISITES**

**QUALIFICATIONS & EXPERIENCE**

**Qualification**:

- Matric (Grade 12) with Accounting and Mathematics
- A certificate or diploma in Accounting, Bookkeeping, or Financial Management
- Relevant accounting software certification (advantageous)

**Experience & Knowledge**:

- Minimum of 2-3 years’ experiencein a similar Accounts Payable role
- Working knowledge of financial systems and processes
- Proficient in Microsoft Excel
- Syspro experience will be an advantage

- Strong reconciliation and problem-solving skills
- Effective time management and ability to meet deadlines
- Strong interpersonal and communication skills
- Understanding of South African VAT and compliance requirements
