High-Level Administrative Coordinator

We are seeking a highly skilled and detail-oriented Junior Administration Assistant to join our team at Persona Staff. The ideal candidate will have excellent organizational and communication skills, with the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
- Answering and directing calls, ensuring timely responses to all inquiries.
- Managing boardroom bookings for meetings and interviews, maintaining a high level of organization and attention to detail.
- Preparing onboarding gifts and conducting office tours for new employees, enhancing their experience and sense of belonging.
- Ordering office supplies and stationery, ensuring seamless day-to-day operations.
- Coordinating cleaning staff schedules and duties, maintaining a clean and safe working environment.
- Managing access tags, office keys, and assignments, prioritizing security and accountability.
- Filing and maintaining records of key and tag forms, as well as waiver forms, ensuring compliance with regulations.
- Updating registers with keys, tags, and forms, maintaining accurate and up-to-date information.
- Sending emails to staff members on their birthdays, promoting a culture of celebration and recognition.
- Managing aircon, kitchen equipment, chairs, desks, and building assets, overseeing maintenance and repairs.
- Allocating contact people at the security company, ensuring prompt responses to incidents and emergencies.
- Downloading door log reports and maintaining attendance registers, tracking employee activity and absences.
- Maintaining annual, sick, and family responsibility leave registers, monitoring and managing employee leave effectively.
- Informing management about sick leave and following up on outstanding leave entries, ensuring accurate reporting and compliance.
- Comparing leave on timesheets on Sage, verifying accuracy and ensuring seamless payroll processing.
- Filing and maintaining records of manual leave applications, supporting HR functions and processes.
- Updating parking lists and allocating parking to new employees, ensuring efficient use of resources.
- Updating and maintaining parking registers and allocations, streamlining parking management.
- Submitting new allocations, payments for payroll deductions, and ordering parking plates, handling administrative tasks with precision.
- Planning events for the company, including booking venues, DJ services, and entertainment, ensuring memorable experiences for employees and clients.
- Sending out invites for events and purchasing food and beverages according to dietary requirements, catering to diverse needs and preferences.
Requirements and Qualifications:
To be successful in this role, you will require:
- A matric certificate with mathematics.
- Diploma in Office Administration or equivalent.
- Bilingual in Afrikaans and English.
- Computer literate.
- Excellent time management and organizational skills.
- Ability to handle workload with discretion.
- Detail-orientated and able to prioritize tasks effectively.
Salary and Benefits:
We offer a competitive salary range of R150,000 - R180,000 per annum, depending on experience, as well as benefits such as medical aid, retirement fund, and annual leave.
