The Role

We are seeking an experienced Administrative Support Specialist to join our team at our Peter Arney Home in Salter Point. As a key member of our administrative team, you will provide critical support to our Service Manager, clinical team, care staff, and residents, ensuring the smooth operation of our facility.

Key Responsibilities:

  • Provide administrative support to all functions of the facility, ensuring the efficient management of day-to-day operations.
  • Respond to resident and visitor inquiries in a professional and welcoming manner.
  • Coordinate rostering support for staff and managers via our Etivity system.
  • Ensure accurate and up-to-date documentation for staff and residents, maintaining confidentiality and security.
  • Coordinate training for permanent staff members, ensuring compliance with regulatory requirements.
  • Provide accounting support to our Finance Department, ensuring timely and accurate financial management.
  • Coordinate regular reporting functions and other activities as required, working closely with managers and clinical staff.
  • Provide receptionist and telephone support, maintaining a professional and welcoming environment.
  • Maintain petty cash, stationery, and other administrative supplies, ensuring efficient and effective operations.

About You

We are seeking an experienced and organized individual with excellent communication and interpersonal skills. You will have a proven track record of providing administrative support in a fast-paced environment, with the ability to work independently and as part of a team.

Essential Criteria:

  • Evidence of COVID-19 and current 2024 Flu vaccinations, in line with Amana Living policies.
  • Ability to obtain a National Police Clearance, valid for at least 6 months.
  • Successful completion of pre-employment form and reference checks.
  • NDIS Screen Check, or willingness to obtain at interview stage.
  • Previous experience in office administration, preferably in the aged care industry.
  • Advanced experience using Microsoft Word and Excel.
  • Understanding of accounting and bookkeeping principles, including debtors and creditors.
  • Current driver's license.
