Job Description:- Job Title: Portfolio Officer - Property Management Specialist
- Salary:$80,000 per annum
- Operational Requirements:
- Develop marketing plans and ensure their implementation
- Prepare, submit, and pursue management proposals to meet growth targets
- Sustain the successful onboarding of new properties under management
- Relationship and Property Management:
- Maintain efficient and effective administration and management of owner and trustee relationships
- Ensure all records are up-to-date, including owners' details, management agreements, minute books, fire certificate renewals, insurance policies, etc.
- Attend relevant HOA and BC meetings and execute instructions in a timely manner
- Assist with owner inquiries, providing an efficient service
- Manage the administration and management of related processes
- Prepare annual budgets for all HOAs and BCs
- Provide documents required for the preparation of the Annual Financial Statements for all HOAs and BCs
- Evaluate adequate property insurance coverage and oversee the submission and management of insurance claims
- Generate levy clearance certificates and sign off on changes of ownership on WCU
- Approve invoices for submission to finance
- Review monthly results and ensure regular and accurate reporting to relevant stakeholders and trustees
- Compile and distribute a monthly report to trustees
- Verify pre-billing checks and sign off
- Distribute monthly management accounts to all BCs and HOAs within the deadline date
- Ensure the effective management of properties in accordance with relevant legislation
- Oversee and ensure entities are registered with CSOS and payments are made
- Evaluate any legislative changes and roll them out, ensuring staff awareness
- Evaluate OHPM compliance with relevant legislation and attend to EAAB annual renewals
- Manage the enforcement of house and conduct rules and issue fines/penalties
- Evaluate complex wellness through regular site visits and management of SLAs
- Oversee the appointment and performance of service providers
- Evaluate expenditure against budget
- Oversee ad-hoc service providers
- Evaluate maintenance issues, record works-orders, and ensure expenditures align with budgets
- Evaluate complex upkeep
- Cyclically visit complexes and report on 'wellness'
- Report Writing:
- Review monthly business unit results and ensure regular and accurate reporting
- Compile a revenue variance report on a monthly basis
- Collate feedback from staff and formulate a monthly progress report, including statistics over time
- Financial & Risk Management:
- Oversee municipal-related processes, comparing charges to the budget
- Prepare budgets and authorize expenditure for the department
- Analyze and formulate responses to risks associated with the region
- Staff Management:
- Oversee and manage staff and resource functions regarding daily activities and requirements
- Manage staff work allocation, performance, and development according to company policies and procedures
- Evaluate the Portfolio Administrator's and Facilities Coordinator's analysis of processes carried out and feedback received monthly
- Perform duties within vocational abilities as requested
- Carry out other ad-hoc duties as and when required by management
- Liaise with different personnel to prevent delays and ensure timely delivery
- Community Development:
- Manage Corporate Social Investment activities aligned with OHHA's mainstreaming plans
- Engage with current volunteers involved in CSI programs and attract new volunteers
