Bid and Contracts Manager

We are seeking a highly organized and detail-oriented Bid and Contracts Manager to join our team at Decision Inc. This role will be responsible for managing the end-to-end bid process, from identifying opportunities to the submission of proposals, ensuring all deadlines are met.

Key Responsibilities:
  • Coordinate the entire bid lifecycle, including bid coordination, contract process management, and documentation and reporting.
  • Collaborate with internal teams to gather necessary information for bids and ensure compliance with client requirements.
  • Maintain an up-to-date bid library, including reusable content, templates, and case studies.
  • Prepare bid documents, including RFP, RFQ, and RFI responses, ensuring accuracy, consistency, and compliance with client requirements.
  • Review and edit proposals for quality, clarity, and alignment with client needs.
  • Track bid progress, submissions, and outcomes, and provide regular status updates to stakeholders.
  • Administer and manage the end-to-end contract process for both client and partner contracts, ensuring all legal and business terms are met.
  • Draft, review, and edit contracts, including NDAs, client agreements, and partnership agreements, in collaboration with the legal team.
  • Ensure compliance with corporate policies, legal regulations, and contractual obligations.
  • Maintain a centralized contract repository for tracking, updating, and managing contract versions.
  • Coordinate contract approvals, signatures, and renewals, managing deadlines for renewals and amendments.
  • Act as the primary point of contact for contract-related queries and support.
Requirements:
  • Relevant Bachelor's degree
  • 4+ years of experience in bid coordination and contract management in the Technology & Consulting industry
  • Familiarity with contract law and contract lifecycle management
  • Thorough understanding of bid process management, requirements, and dynamics
  • Excellent organization and administrative skills with stringent attention to detail, and strong time management and prioritization skills
  • Excellent analytical, interpersonal, organizational, and communication skills
  • Previous experience dealing with high volumes of work and data in a pressurized environment
  • Strong project management skills, with the ability to manage multiple bids and contracts simultaneously
  • Excellent written and verbal communication skills
  • High attention to detail and organizational skills
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and contract management software/tools
  • Ability to work effectively under pressure and meet tight deadlines
