Fleet Management and Administration

The successful candidate will be responsible for managing the fleet of vehicles, ensuring that all administrative tasks are completed accurately and timeously. This includes ensuring the procurement of vehicle/accessory orders, validating delivery dates, and completing the vehicle requisition on the production system.

Key Responsibilities:

  • Ensure procurement of vehicle/accessory orders is compiled by receiving and validating order files, issuing order numbers, and confirming delivery dates.
  • Complete the vehicle requisition on the production system with validated information.
  • Generate purchase orders from the production system and arrange for orders and proxy forms to be emailed to or collected by suppliers.
  • Pre-Delivery Tracking of vehicles: check delivery dates with suppliers, advise departments of any changes, and confirm delivery before handing unit files to administration for activation.
  • Manage vehicle accidents, record keeping, and administration, including registering insurance claims and following up to completion.
  • Order and issue fuel cards when needed/due, and resolve errors/problems with fuel cards.
  • Manage fleet maintenance, scheduling vehicle services in accordance with service schedules, and treating vehicle repairs as urgent to eliminate downtime.
  • Manage monitoring systems, vehicle fines, and financials, including managing lease vehicles, vehicle repair costs, and fuel expense allocations.
  • Assist with general administration, internal/external queries, and preparing and distributing scheduled and ad-hoc reports.

Requirements:

  • Advanced/Expert computer literacy in MS Outlook, Word, and Excel.
  • Experience working in Kerridge will be advantageous.
  • Strong analytical ability, strong focus on attention to detail and accuracy.
  • Strong financial/numerical ability, with experience and understanding of financial indicators, e.g., AODs, Capex, fleet replacement, and restructures.
  • Excellent interpersonal skills, including strong verbal and written English and Afrikaans communication skills.
  • Ability to interact with senior management, excellent communication skills with people at all levels in an organization.
  • Impeccable, friendly, and professional telephone manner and in general when dealing with customers both internally and externally.
  • Ability to function effectively in a group and add value to the team/environment.
  • Excellent work ethic – honest, reliable, hardworking, dedicated, takes pride in work carried out.
  • Highly developed prioritizing and multi-tasking skills, strong sense of urgency, problem-solving, and decision-making skills.
  • Dedication to service excellence in every aspect of work carried out, strong focus on internal and external customer service.
