Administrative Assistant

We are seeking a highly organized and communicative Admin Assistant to provide exceptional support to our team at Affinity Services. As the first point of contact, you will be responsible for creating a welcoming atmosphere and ensuring the smooth operation of our front office.
Key Responsibilities- Front Desk Management: Greet visitors and clients with a friendly and professional demeanor, directing them appropriately and handling inquiries efficiently.
- Call Handling: Answer and direct phone calls, take accurate messages, and ensure they reach the appropriate staff member in a timely manner.
- Office Administration: Provide general administrative support, including handling mail, scheduling meetings, ordering office supplies, and assisting with clerical tasks.
- Client Communication: Maintain clear and courteous communication with clients and vendors through email, phone, and in-person interactions.
- Data Entry & Filing: Manage basic data entry tasks, organize office documents, and maintain the filing system for easy access and recordkeeping.
- Meeting Coordination: Schedule and organize meetings, conferences, and events, preparing materials as necessary and ensuring smooth logistics.
- Office Organization: Keep the reception area and common office spaces neat and organized, reflecting the professional image of Affinity Services.
- Support Team Projects: Assist other departments with administrative tasks as needed, from preparing reports to coordinating company events.
To be successful in this role, you will need:
- A minimum of a Matric certificate.
- Prior experience in a reception or administrative support role is preferred.
- Excellent organizational skills with the ability to multitask effectively.
- Strong communication skills, both written and verbal.
- A friendly, energetic, and professional demeanor at all times.
