Job Overview:

We are seeking a highly organized and detail-oriented Procurement Administrator to join our team at Staff Solutions Recruitment.

Key Responsibilities:
  • Maintain accurate records of raw material deliveries using the company's receiving register, ensuring seamless order fulfillment cycles.
  • Request and manage Certificates of Analysis (COA) from suppliers, guaranteeing compliance with quality standards.
  • Capture deliveries on Syspro, verifying they match relevant invoices, and reconcile discrepancies in a timely manner.
  • Monitor email correspondence to stay updated on pricing changes during capturing, utilizing strong analytical skills to mitigate risks.
  • Understand seafreight shipment types and Incoterms, navigating complex logistics efficiently.
  • Reconcile and control credit notes, GRNs, invoices, and delivery notes for packaging and raw materials, maintaining accurate financial records.
  • Investigate and resolve supplier queries (e.g., incorrect pricing), demonstrating excellent communication and problem-solving skills.
  • Analyze situations and solve problems effectively, applying creative solutions to challenges.
  • Review vendor contract requirements and escalate to management as needed, ensuring compliance with regulatory guidelines.
  • Perform ad hoc duties as required, showcasing adaptability and a willingness to learn.
  • Keep records and reports updated and manage data effectively, leveraging technology to streamline processes.

Qualifications and Experience:
  • 2-3 years experience in procurement administration is essential, with a proven track record of delivering results.
  • N Dip / BSc / BCom qualification is required, demonstrating a solid foundation in business principles.
  • Proficient in Syspro and MS Office (Word, PowerPoint, Excel), leveraging technology to enhance productivity.
  • Familiarity with virtual platforms like MS Teams and Zoom, staying connected with remote teams.
  • Valid drivers license and reliable transport, ensuring flexibility in job duties.
Estimated Salary Range:

The estimated salary for this role is between $50,000 - $65,000 per annum, depending on experience and location.
