Executive Support Specialist for Senior Management

At iStaff Recruitment, we are seeking a highly skilled and experienced Executive Assistant to provide top-notch support to our senior management team.
About the RoleThis is a hybrid position that requires the ability to work independently as well as collaboratively with a dynamic team. The successful candidate will be responsible for providing administrative support to two directors, including short and long listing for consultants, internal and external diary management, and liaising with stakeholders.
The ideal candidate will have a minimum of 7 years of experience working in a corporate organization, with at least 5 years in a similar role as an Executive Assistant. Prior experience with consulting or retainer-based executive recruiting is preferred. The successful candidate will be detail-oriented, able to work under pressure, and have excellent communication skills.
Key Responsibilities- EA to 2 Directors: Provide administrative support to senior management team members
- Short and Long Listing: Assist in the recruitment process by conducting short and long listings for consultants
- Internal and External Diary Management: Manage the diaries of senior management team members, ensuring they are up-to-date and accurate
- Liaising with Internal and External Stakeholders: Communicate effectively with internal and external stakeholders, including clients and vendors
- Travel Arrangements: Arrange travel itineraries for senior management team members, both locally and internationally
- Expense Reports: Prepare expense reports for senior management team members, ensuring accuracy and compliance
- General Administration: Provide general administrative support as needed, including QA, social functions, front desk, and IT
- Minimum Requirements:
- An undergraduate degree
- Proficient in Microsoft applications (Intermediate to Advanced level)
- Experience proofreading and editing documents
- Typing speed of 50-60+ wpm
- Experience transcribing dictation
- At least 7 years working for senior management level in a corporate organization
- At least 5 years experience in a similar role, as an EA
- Prior experience with consulting or retainer-based executive recruiting is firm preferred
- You will need to come out of a highly pressurised environment where you've had to manage tight deadlines
- You must be very detailed in what you do
- You must have a mature personality and be able to handle stress
- You will be a fast learner
- Able to understand volumes, working under pressure and have attention to detail
- Be solid with working to tight deadlines and working through volumes of paper and working independently
- Able to work long hours
Ranging from R550,000 - R750,000 per annum, depending on experience.
