Job Title: Registrar

The Registrar is a key member of the CTU Career Chatz team, responsible for ensuring the smooth operation of academic and student-related functions. This role requires a high level of organizational skill, attention to detail, and the ability to work effectively with diverse stakeholders.

Key Responsibilities:
  • Student Admissions and Registrations: Oversee the student admissions process, ensuring that all necessary documentation is completed and that students are properly registered for courses.
  • Assessment and Moderation Administration: Manage the assessment and moderation process, ensuring that all assessments are conducted fairly and that results are accurately recorded.
  • Graduation Service: Coordinate the graduation process, ensuring that all necessary procedures are followed and that graduates receive their certificates in a timely manner.
  • Rules and Regulations: Update and maintain the rules and regulations governing student conduct, academic policies, and other relevant matters.
  • Information Dissemination: Coordinate the dissemination of information to students, faculty, and staff regarding courses, policies, and other relevant matters.
  • Student Records: Maintain accurate and up-to-date student records, ensuring that all necessary information is recorded and that confidentiality is maintained.
  • Committee Services: Provide committee services to the senate and other relevant bodies, ensuring that all necessary information is presented and that decisions are made in a timely manner.
  • Academic Governance: Provide guidance on academic governance and policy to faculty and staff, ensuring that all necessary procedures are followed.
  • Assessment and Moderation Reports: Warrant assessment and moderation reports, ensuring that all necessary information is accurate and complete.
  • Institutional Annual Report: Prepare the institutional annual report for submission to the relevant authorities.
  • Quality Initiatives: Participate in quality initiatives as determined by the Academic Dean, ensuring that all necessary procedures are followed.
  • Stakeholder Engagement: Liaise with external stakeholders, quality councils, and SETAs, ensuring that all necessary information is shared and that relationships are maintained.
  • Policies and Procedures: Maintain accurate and up-to-date policies and procedures, ensuring that all necessary information is recorded and that confidentiality is maintained.
  • Student Disciplinary Matters: Manage student disciplinary matters, ensuring that all necessary procedures are followed.
  • Student and Parent Consultation: Conduct student and parent consultation meetings, ensuring that all necessary information is shared and that relationships are maintained.
Requirements:
  • Qualifications: Honours degree in Education, specialising in Education. A master's degree in Education is recommended.
  • Experience: Ten years of relevant experience at a tertiary institution, with five years in a senior management role. Experience working with learning management systems, Microsoft Dynamics, and Microsoft Office 365 is preferred.
  • Competencies: Competent in assessment, data analysis, and educational outcomes. Excellent interpersonal skills and the ability to work with diverse stakeholders. Demonstrated effective organizational skills and attention to detail. Ability to synthesize and analyze quantitative and qualitative data and prepare and present reports effectively. Knowledge of national post-school education practices and trends. Knowledge of national and specialized post-school accreditation standards, practices, and goals. Knowledge of institutional self-assessments. Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures. Knowledge and understanding of integrated program planning, development, and administration within a higher education institution. Advanced verbal and written communication skills. Technical leadership, supervisory skills, and the ability to motivate staff productivity and performance. Knowledge of budget preparation and fiscal management.
