Assistant Buyer Coordinator

An opportunity has become available for a dedicated Admin Assistant to join our Outdoor Equipment Department.

The key role of the Buyers assistant is to provide day-to-day product and planning administration support to Buyers and Planners.

Key Responsibilities:

  • Loading and amending orders in a timely manner.
  • Sending orders to suppliers efficiently.
  • Managing order handover and deliveries from international and local suppliers.
  • Updating buying administrative documentation accurately.
  • Maintaining and updating excel sheets for data analysis.
  • Adding, maintaining, and updating product details on various systems.

Sample Management:

  • Manage the sending and receiving of parcels to suppliers.
  • Organize and maintain the sample room, ensuring samples are housed in an efficient manner.
  • Coordinate stock movement between Head Office and Distribution centre.
  • Manage the Buyers warehouse stock-take effectively.

Sample Sale Preparation:

  • Assist in preparing samples for the sample sale event.
  • Send leftover samples to outlet stores and charity after the sample sale event.
  • Pull necessary reports to manage sample movement for the sample sale event.

Mark-downs and Price Adjustments:

  • Action mark-downs and price adjustments as advised by the planning team.
  • Forward markdowns and price adjustments communications to stores.

Bar-code Approval Process:

  • Approve bar-codes received electronically (layout and information).
  • Test and approve bar-codes sent from suppliers and send communication to suppliers.

Filing System Management:

  • Manage and maintain clear and concise filing systems in the merchandise department.

Work Experience Required:

  • Candidates with 1-2 years' experience in a similar administrative role will be given preference.

Formal Qualifications Required:

  • A Grade 12 / Matric qualification is essential.
  • A relevant tertiary degree is advantageous.

Job Related Knowledge:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) is required.

Job Related Skills:

  • Strong verbal and written communication skills.
  • Analytical thinking and problem-solving abilities.
  • Effective time management and organizational skills.
  • Strong administrative skills with attention to detail.

Candidates must have own reliable transport.
